Wedding Coordinator

About This Role

This hands-on position combines client communication, event administration, staff coordination and on-site wedding management. The Wedding Coordinator manages weddings from the planning stage through to delivery on the day, becoming a key point of contact for couples and helping them navigate the process with confidence, ensuring every important detail is documented and communicated. On wedding days, the coordinator coordinates vendors, staff, venue preparation and event logistics, while providing calm and attentive support to the couple, bridal party and their families.

Responsibilities

• Manage wedding correspondence, client records and event documentation
• Respond to enquiries and maintain proactive communication with couples
• Book and conduct planning meetings and final wedding meetings
• Coordinate weddings throughout the planning process and on the day
• Liaise with vendors, catering, housekeeping and other venue teams
• Oversee venue and event set-up and respond to issues as they arise
• Support couples, bridal parties and families on the wedding day
• Prepare food and beverage staff rosters and brief casual staff
• Maintain accurate post-event records and venue logistics
• Represent Bullimah professionally at meetings and events
• Assist with general venue administration as required

Requirements

• Experience in weddings, events, hospitality, conferences or a related client-service role
• Strong organisational and administrative skills
• Excellent written, telephone and face-to-face communication
• Confidence managing multiple deadlines, people and competing priorities
• A professional, respectful and collaborative approach
• The ability to remain calm and solutions-focused in a live event environment
• Confidence using software and maintaining accurate records
• A proactive attitude and willingness to assist wherever reasonably required
• The physical capacity to assist occasionally with event set-up and movement of items
• Availability to work weekends as part of the role
