Role & responsibilities :
Vendor Sourcing & Empanelment
- Identify, source, and evaluate new recruitment vendors based on business requirements.
- Manage the end-to-end vendor empanelment process from identification to activation.
- Coordinate with vendors to collect and validate all required documents.
- Manage legal and compliance documentation, agreements, NDAs, MSA/SOW and other relevant documents.
- Coordinate with internal Legal, Finance, Procurement and Business teams for vendor onboarding and approvals.
- Ensure timely completion of vendor onboarding and empanelment activities.
Vendor Governance & Relationship Management
- Act as the primary point of contact for assigned recruitment vendors.
- Maintain regular communication with vendors and build strong working relationships.
- Conduct periodic vendor connects/reviews to understand challenges, requirements and business performance.
- Monitor vendor performance against defined SLAs/KPIs.
- Evaluate vendor performance based on parameters such as quality, TAT, submissions, interview conversion, closures, compliance and overall delivery.
- Identify underperforming vendors and work with them on improvement plans.
- Support vendor escalations and ensure timely resolution of issues.
Vendor Invoicing & Finance Coordination
- Coordinate and manage the end-to-end vendor invoicing process.
- Validate vendor invoices and ensure supporting documents are available.
- Coordinate with Finance and internal stakeholders for invoice processing and payment-related queries.
- Track pending invoices, approvals and payment status.
- Ensure adherence to agreed commercial terms and vendor contracts.
Vendor Code & Master Data Management
- Coordinate for creation and activation of Vendor Codes.
- Ensure accurate vendor master data is maintained in internal systems.
- Maintain complete records of vendor agreements, documentation, commercial details and compliance information.
- Regularly update and audit vendor data to ensure accuracy and completeness.
- Maintain vendor trackers, dashboards and governance reports.
Reporting & MIS
- Prepare and maintain regular vendor performance reports and MIS.
- Track vendor-wise performance, productivity, closures, TAT and other key metrics.
- Provide regular visibility to management on vendor performance and governance.
- Maintain dashboards and trackers for vendor onboarding, empanelment, documentation, invoicing and performance.
Required Skills
- 3+ years of experience in Vendor Management / Vendor Governance / Recruitment Vendor Management / VMO.
- Experience in managing recruitment/staffing vendors will be preferred.
- Strong understanding of the end-to-end vendor lifecycle.
- Experience in vendor onboarding and empanelment.
- Knowledge of vendor documentation and legal/commercial agreements.
- Hands-on experience in vendor invoicing and coordination with Finance teams.
- Experience in vendor performance monitoring and governance.
- Strong stakeholder and vendor relationship management skills.
- Good analytical and reporting skills.
- Strong proficiency in MS Excel and vendor management trackers.
- Excellent communication and negotiation skills.
- Strong attention to detail and ability to manage multiple vendors simultaneously.
