Job Description:
Location: Jurong East
Work Days: Monday to Friday
Work Hours: 8.30am – 6.00pm / 9.00am – 6.30pm
Commitment: Able to commit till 31 December 2026
We are hiring for two Administrative Executive openings supporting our Community Partnership and Grant Process functions. Candidates may indicate their area of interest upon application.
Responsibilities
Community Partnership track:
- Provide logistical and administrative support for events, including event registration and crowd control
- Track and maintain the organisation's calendar of events
- Prepare reports and tracking documents, including collation of vacancies, document tracking, budget tracking, and claims document verification
- Perform data entry, data collation, letter preparation, printing, scanning, and filing
- Handle receipt and delivery of documents and materials from partners
Grant Process track:
- Administer day-to-day operations for grants, including processing applications, variations, candidate onboarding, and claims
- Validate claims documentation and prepare submissions for Finance disbursement; provide findings for evaluation where relevant
- Review submitted documentation for completeness and compliance; identify discrepancies and follow up with employers or partners
- Maintain accurate, audit-ready records in line with programme and organisational requirements
- Liaise with members, training providers, call centre, and relevant departments on appeals and enquiries
- Check membership status and update internal databases
Both tracks:
- Undertake other ad-hoc duties as assigned by the supervisor
Requirements
- Minimum GCE 'O' Level; 'A' Level and above preferred for Grant Process track
- Computer literate, proficient in MS Office (particularly Excel)
- Good command of spoken and written English, with strong verbal communication skills
- Meticulous, with good numeracy and coordination skills
- Able to work independently and manage multiple stakeholders in a fast-paced environment
- Good time management and problem-solving skills
- Willing to work on weekends and travel islandwide for events/outreach, and physically able to pack and carry event collaterals (Community Partnership track)
