Unit Secretary, NICU, PTD

About This Role

This part-time day shift unit secretary role supports the Neonatal Intensive Care Unit (NICU) by performing clerical and secretarial duties. The position involves maintaining patient and operational records, coordinating patient flow, and ensuring efficient unit operations.

Responsibilities

• Process and maintain clerical information on the unit
• Respond to, screen, and refer telephone messages and requests regarding patient information and unit operation to appropriate personnel
• Assist with coordination of patient flow, unit rounding, and visitor security
• Maintain patient’s electronic medical record, ensure completeness and accuracy of patient charts and records
• Communicate consults by contacting providers
• Facilitate admission, discharge, and transfer status
• Assist with coordination of patient transportation to external facilities or discharge to home
• Maintain supplies and equipment
• Place orders for service, coordinating with Environmental Support Services as required

Requirements

• Basic computer skills (word processing, data entry), with ability to quickly learn and become proficient using Unit computer systems
• Understanding or familiarity with medical terminology or ability to quickly learn in order to process and maintain accurate medical records
• Professional demeanor and strong interpersonal skills demonstrating the ability to communicate clearly, effectively, tactfully, and courteously with customers and staff on all levels
• Ability to multi-task effectively
• High school graduate or equivalent

Nice to have:

• 1-2 years secretarial or administrative assistant experience in a medical setting
• Additional coursework in the medical support field

Important Details

• Schedule: One day first week, two days second week, 12-hour rotating days, 7:00am-7:00pm (part-time day shift)
• Includes every 3rd weekend (Saturday & Sunday) and every other holiday
• Total Weekly Hours: 18
