Qualifications

Essential

  • Tertiary qualification in Human Resources, Business Administration, or a related field
  • 3-5 years of relevant experience in talent acquisition, recruitment, or a similar human resources role
  • Experience managing end-to-end recruitment, including job posting, candidate sourcing, assessment, interview coordination, selection, and onboarding
  • Experience using Human Resources Information Systems (HRIS) and electronic recruitment platforms
  • Proficiency in Microsoft 365, including Word, Excel, PowerPoint, and Outlook
  • Strong schedule management and planning skills, with the ability to manage multiple priorities and competing deadlines
  • Clear written and verbal communication skills, including effective cross-functional communication
  • Strong attention to detail, accuracy, and precision
  • High level of ownership and accountability
  • Proactive and solutions-focused approach
  • Commitment to continuous professional and personal development

Desirable

  • Basic understanding of the Australian industrial relations framework
  • Experience working effectively in a fast-paced environment
  • Ability to manage the end-to-end recruitment process independently

Responsibilities

Recruitment, Selection, Onboarding, and Offboarding

  • Maintain accurate and up-to-date job descriptions for all assigned vacancies.
  • Advise and assist hiring managers in writing and improving job descriptions.
  • Post job advertisements on internal and external platforms to attract qualified candidates.
  • Manage communications among applicants, hiring managers, and other stakeholders throughout the recruitment process.
  • Schedule regular meetings with hiring managers to understand current vacancies and anticipate future recruitment requirements.
  • Develop and maintain a shared recruitment tracker detailing each vacancy's state or territory, contract type, working hours, assigned roster, and hiring manager.
  • Record and regularly update matched candidates, application progress, applicant contact details, and proposed commencement dates.
  • Use Scout or similar recruitment platforms to identify and engage suitable candidates.
  • Conduct structured telephone screenings using approved documentation and procedures.
  • Complete reference checks in accordance with the company's management system.
  • Verify candidate compliance requirements, including Working with Children Checks, police checks, visa status, Australian working rights, and vaccination evidence.
  • Provide hiring managers with daily reports outlining active vacancies and recruitment progress.
  • Manage the electronic onboarding process through FlareHR.
  • Issue employment offers electronically and notify successful candidates once offers have been sent.
  • Follow up with candidates to ensure timely completion of onboarding requirements.
  • Inform hiring managers once the onboarding process has been completed.
  • Collate completed onboarding information and submit the required documentation to Payroll and the relevant hiring manager.
  • Maintain accurate and current records in the Scout e-recruitment system.
  • Remove expired or inactive job advertisements when they are no longer required.
  • Apply strict candidate management principles and protect confidential applicant information.
  • Conduct regular audits to confirm employees have completed all required online and client inductions.
  • Organize and facilitate recruitment assessment centers in consultation with business leaders.
  • Coach and mentor hiring managers on effective interviewing and candidate selection practices.
  • Support the administration of psychometric assessments when required.
  • Develop and maintain a pipeline of job-ready candidates to support proactive vacancy fulfillment.

Position KPIs Daily Reporting

  • Produce accurate and timely daily recruitment status reports for business stakeholders.
  • Highlight recruitment opportunities requiring follow-up and action.
  • Identify and implement improvements to onboarding processes.
  • Maintain accurate reporting and strengthen recruitment compliance.

Responsiveness to People and Demands

  • Support key internal and external stakeholders throughout the recruitment lifecycle.
  • Maintain a flexible and professional approach to changing responsibilities.
  • Respond maturely to urgent requests and changes to work programs, with or without notice.
  • Exercise sound professional judgment when managing workloads and competing priorities.
  • Seek assistance or escalate concerns when necessary to prevent work overload.
  • Manage tasks effectively to deliver accurate and high-quality outcomes.

Communication Skills

  • Communicate clearly and professionally through verbal and written channels.
  • Ensure accuracy across all correspondence, documentation, and reporting.
  • Share relevant information promptly and appropriately with the management team.
