About the role
Summary
Review and provide coverage for designated shifts and units as needed, based on staffing guidelines. Process all vacation slips, trade slips, and staffing changes. Adjustments are recorded in the computer and on the master and daily schedules. Help maintain schedule changes in scheduling program by posting and awarding open shifts if necessary. Assist with scheduling program inquiries, making Scheduling Rewards adjustments, and other additional duties as necessary.
Responsibilities
(50%)
Provide staffing coverage for designated shifts and units as needed, based on acuity staffing guidelines. Allocates staff according to daily needs by using judgement on deploying and re-deploying staff. Make appropriate telephone calls on a regular basis.
(30%)
Process actual staffing changes marked on the daily and master schedules to the computer, utilizing appropriate scheduling systems on a regular basis.
Maintain and award all union employee PTO requests according to the Collective Bargaining Agreement.
(20%)
Edits and prepares nursing staff payroll for approval. Help to post and award open shifts for last minute schedule changes for any department in scheduling software.
Other Duties And Responsibilities
Process PTO and trade slips in the computer and on master and daily schedule on an occasional basis.
Communicates with employees regarding their schedules, questions regarding PTO benefits, union contract provisions, etc.
Other duties as assigned.

Required Education
Education:
High School Diploma or GED
Equivalent Experience:
Associate's degree in secretarial services preferred.

Personal Computer proficiency and good organizational and people skills required.

One Year Secretarial And Medical Experience Preferred.
Record and maintain attendance records for all nursing employees, coordinate with department managers, employees and union representatives to schedule the disciplinary meeting.
Train new hires how to use the time & attendance system and scheduling system.
Physical/Mental Requirements And Typical Working Conditions
Exposure to stressful situations, including those involving public contact, as well as, trauma, grief and death.
Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.
Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.
Overall vision and hearing is necessary with or without assisted device(s).
Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.
Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health bloodborne pathogen and TB testing as required.
Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.
Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.
