Duties

NOTE: If the position is filled at a lower grade level, subsequent promotion to the next grade level will be processed without further competition under the Merit Promotion Program at such time as performance and qualification requirements are met and classification review discloses the duties being performed properly warrant classification to the next higher grade level.

SUMMARY OF DUTIES: The incumbent participates actively in the management of the Superintendent's Office by independently performing technical and routine administrative and miscellaneous clerical work: 
· Resolves problems associated with the administration and clerical support services of the office; and provides assistance to all agency clerical and administrative support staff.

· Receives and screens inquiries by telephone or personal visitors and directs to the Superintendent those contacts needing his/her attention or action.

· Resolves and/or answers routine inquiries of the program and/or operations.

· Maintains calendar and schedules appointments for the Superintendent.
· Prepares a variety of reports, forms, and correspondence in final form from rough draft, written and/or oral instructions; and reviews outgoing correspondence to insure adherence to procedure and grammatical accuracy.
· Serves as the lead clerical support contact and as agency head timekeeper providing technical advice and assistance regarding timekeeping, correspondence, procurement, travel, cuff accounts, files and records management systems.

· Maintains a suspense record and/or call up system on Congressional and other deadline correspondence to insure timely reply or action.
· Responsible for maintaining an accurate and current cuff account of the assigned budget for the Superintendent; and for financial entering and retrieving of data to and from the automated data processing system in relation to budget and finance such as obligations for travel, purchases, and invoices.
· Makes arrangements for conferences, including space, people, time, etc.; and prepare/process travel arrangements.
· Serve as the Alternate Privacy Act/FOIA Coordinator for the Agency.

Qualifications

EXPERIENCE AND EDUCATION REQUIREMENTS: (OPM Operating Manual, Qualification Standards for One-Grade Interval Clerical and Administrative Support Positions, GS-0303).

GS-7**:** 1 year of specialized experience equivalent to the GS-6 grade level in the Federal service which involved providing program and administrative support such as preparing and reviewing correspondence and reports; processing time and attendance records; maintaining office filing systems; assisting with budget activities; arranging for conferences, meetings, and training sessions; scheduling meetings and making travel arrangements and processing vouchers; answering telephone calls and greeting visitors; serving as a mail clerk; and ensuring that all requests for action or information are acted upon and due dates are met.

GS-6**:** 1 year of specialized experience equivalent to the GS-5 grade level in the Federal service which involved providing program and administrative support such as answering telephone calls and greeting visitors; serving as a mail clerk; processing time and attendance records; preparing correspondence; maintaining office filing systems; making travel arrangements; ensuring that all requests for action or information are acted upon and due dates are met; and assisting with budget activities.

GS-5**:** 1 year of specialized experience equivalent to the GS-4 grade level in the Federal service which involved clerical work such as preparing correspondence, maintenance of logs and clearing and categorizing files or documents to aid in delivery of documents or files to the appropriate file format; in addition to work involving word processing; assisting with making travel arrangements; assisting with budget activities; processing time and attendance records; and maintaining office filing systems OR 4 years of successfully completed education above the high school level in any field at an accredited business, secretarial or technical school, junior college, college or university. (One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.).

SPECIALIZED EXPERIENCE**:** Experience which is in or directly related to the line of work of the position to be filled and which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position, and is typically in or related to the position to be filled.

Qualifying education from colleges and universities in foreign countries must be evaluated in terms of equivalency to that acquired in U.S. colleges and universities. Applicants educated in whole or in part in foreign countries must submit sufficient evidence, including transcripts, to an accredited private organization for an equivalency evaluation of course work and degree. You must provide a copy of the letter containing the results of the equivalency evaluation upon request. Failure to provide such documentation when requested will result in lost consideration.
