About the role
Duties
This position is located in the FEMA Operations Center (FOC), Operations Division, Response Directorate, Federal Emergency Management Agency (FEMA), Department of Homeland Security (DHS). The FOC is FEMA’s primary operations center. It provides a centralized point of management for collecting, processing, disseminating and coordinating information and activities through a network of 24 hour operations centers in support of FEMA all-hazards mission. The incumbent will be responsible for the administration and implementation of a variety of important and special assignments for the FOC Director. Typical duties include:
- Transmits instructions and decisions from the Director to other staff advising them of new or proposed policies and procedures, of commitments made, and of other developments in the office pertaining to their individual responsibilities.
- Handles administrative functions for the FOC, including serving as timekeeper, handling all time and attendance issues, preparing and monitoring status of administrative forms, including travel authorizations, request for training, office equipment forms, personnel forms.
- Under the Director’s guidance, maintains and oversees FOC budget records and accounting. Maintains detailed spending records, ensuring they are up to date at all times. Response for accurate record keeping and expeditious follow-up on requisitions.
- Reviews outgoing correspondence for grammatical and factual correctness, adherence to established policy, correspondence procedures, format and distribution of copies.
- Responses to all incoming calls and visitors. Screens incoming call for the supervisor, handling such calls as appropriate personally or referring to staff members.
