About the role

Duties
The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence, and limited complexity.
As a Staff Assistant, you will:

  • Serves as a senior Staff Assistant on all administrative matters associated with the Service Center.
  • Conducts and coordinates research material on administrative projects, briefings, and executive summaries, analyzes data to ensure that all relevant facts are presented, and develops options and recommendations.
  • Conducts substantive reviews of correspondence prepared for signature of organization senior management.
  • Provides assistance to staff to ensure that responses to inquiries from internal and external stakeholders are timely, complete, appropriate, and consistent with the policies of the program office.
  • Supports senior management in electronic/paperless office functions such as routing of documents for review and approval, database management and case tracking, and report development and generation.
  • Serves as a point of contact for all conference and meeting related matters from initiation through completion, including town hall meetings, management meetings and internal/external meetings.

Qualifications
GS-09: You qualify at the GS-09 level you must possess one (1) year of specialized experience, which is equivalent to the GS-07 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:

  • Handling administrative matters and programmatic problems or referring technical matters to the appropriate individual(s).
  • Maintaining information regarding issues and problems under the jurisdiction of senior management. Ensuring issues or problems are addressed by subordinate offices and expediting actions as necessary.
  • Preparing and/or reviewing all correspondence written for senior management including letters, memoranda, reports, charts, briefing materials, and talking points. Ensuring all correspondence meets high standards for clarity and conciseness while taking account of current management trends. OR
  • You may substitute a Master's degree or 2 full years of graduate education leading to such a degree in any field or a J.D. or L.L.B. degree for experience required at the GS-09 grade level. Such education must have been obtained in an accredited college or university and demonstrate the knowledge, skills, and abilities necessary to do the work of this position. Check with your school to determine how many credit hours comprise two years of graduate education. If that information is not available, use 36 semester or 54 quarter hours.

GS-11: In Addition to the requirements at the lower grade level(s), to qualify at the GS-11 level you must possess one (1) year of specialized experience, which is equivalent to the GS-09 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:

  • Maintaining overall control of the senior manager's calendar and schedule. Independently determines which matters to handle personally, and which ones to refer to other management officials.
  • Analyzing and evaluating established procedures within an office to determine if existing procedures are effective and efficient.
  • Preparing written reports based on analysis and research of data. OR
  • You may substitute a doctoral degree (PhD or equivalent degree) or three full years of progressively higher-level graduate education leading to such a degree in any field, or L.L.M. if related for experience at the GS-11 grade level or such education must have been obtained in an accredited college or university and demonstrate the knowledge, skills, and abilities necessary to do the work of this position. Check with your school to determine how many credit hours comprise three years of graduate study. If that information is not available, use 54 semester or 81 quarter hours.

GS-12: In Addition to the requirements at the lower grade level(s), to qualify at the GS-12 level you must possess one (1) year of specialized experience, which is equivalent to the GS-11 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:

  • Applying and adapting analytical and evaluative methods and techniques to issues or studies concerning the efficiency of program operations.
  • Presenting recommendations to high level officials within an office.
