About the role
General Responsibilities:
The responsibility of the Network Office Manager is to manage the business operations and day-to-day accounting for the Network Office. The Office Manager anticipates the needs of the office, plans for its development with the Managing Partner and Chief Operating Officer, recommends necessary changes, and takes independent action in his/her areas of authority. The Office Manager subscribes to the philosophy, principles, and practices of the Northwestern Mutual and Network Office. Specific responsibilities include but will not be limited to:
Network Office Operations/HR Support (40%)
· Coordinates annual performance reviews and team member evaluations.
· Maintain all necessary employee records and administer benefits.
· Create and maintain job descriptions for each position.
· Maintain employee HR website, track PTO, performance reviews, performance issues and maternity plans.
· Maintain and update the employee handbook.
· Review all home office communication and ensure that Managing Directors, detached and housed financial representatives and staff are informed on a timely basis of any procedural changes.
· Develop and maintain an agency manual of policies, procedures, and practices.
· Support the Chief Supervision Officer and COO on updating the business continuity plan annually.
· Responsible for facilities management including relationship with building manager.
· Establish, implement, and maintain adequate security and safety procedures.
· Recommend and order necessary office equipment and office supplies.
· Coordinate Network Office reports as needed.
· Coordinate meetings and attendance at company annual and regional meetings.
· Back up Financial Planning team when needed.
Staff Accountant Responsibilities (60%)
· Account for the accuracy of the accounting records of the office.
· Oversee vendor relationships and payroll activities for staff.
· Manage and process accounts payable and accounts receivable.
· Process financial representative commissions and allowances.
· Prepare monthly financial statements including variance analysis and commentary.
· Assist CFO with budget, cost analysis of amenities and rent and other financial modeling as needed.
· Administer office staff benefit plans such as medical, retirement, cafeteria plans, etc.
· Maintain systems of internal controls to safeguard financial assets of the office.
· Monitor banking activities of the office.
· Work with accounting firm to prepare forms for IRS.
· Collaborate with outside accountant in the preparation and filing of the annual federal and state tax returns.
· Monitor financial representative indebtedness and process collection procedures, as necessary.
Qualifications
· Bachelor's degree, preferably in accounting.
· Three to five years’ experience in a management position or staff accountant role
· Demonstrated leadership to motivate and hold others accountable.
· High degree of initiative
· Superior written and oral communication skills
· Demonstrated use of time management skills
· Strong organizational skills
· Financial training or background, with emphasis on payroll, expense management and budgeting.
· Ability to take independent action and make sound decisions.
· Overall knowledge in computer hardware and software.
· Knowledge of state and federal Human Resources laws preferred.
· Ability to be diplomatic.
· Ability to be flexible and open-minded.
· Team oriented.
Pay: $60,000.00 - $70,000.00 per year
