Why does the job exist?

This position provides administrative, procurement, financial, budgetary, professional service contracts, accounts payable, capital assets, per diems, and other related activities in support of NMDOT's Fleet management program.

How does it get done?

The primary responsibilities of this position will include:

  • Financial processing and record management
  • Process General Office (GO) Fleet Management payments and journal vouchers/journal entries in the SHARE-FIN system accurately and timely.
  • Process per diem payments within 24 hours of receipt.
  • Process regular vendor payments, including WEX and RICOH lease agreements within 30 days of the invoice date.
  • Process journal vouchers/journal entries within five working days of the request.
  • Maintain a low number of rejected or returned vouchers through accurate and thorough processing.
  • Establish and maintain an organized, current, and accessible filing system and binders for payment records, capital asset transactions, titles, registrations, and other related records.
  • Maintain records in accordance with applicable retention requirements, including a minimum retention period of three years.
  • Ensure filing systems are complete, accurate, organized, and readily accessible for record management needs.
  • Administrative support GO Fleet Management
  • Provide quality administrative support to GO Fleet Management in the areas of personnel training, procurement, hardship transactions, entity sales, public auctions, and other special projects as assigned.
  • Provide timely and accurate notifications and documentation related to entity sales and public auction activities.
  • Process vehicle titles, bills of sale, temporary registrations, auction logs, IandCs, and other required Motor Vehicle Division documentation accurately and timely.
  • Coordinate and maintain documentation necessary to support fleet management activities and ensure compliance with applicable procedures and requirements.

Respond promptly to administrative requests and provide accurate information and support to internal customers and other stakeholders.

  • Complete assigned special projects accurately, efficiently, and within established deadlines.

Minimum Qualification

Associate Degree in Business Administration, Public Administration, or Accounting and one (1) year of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.

Employment Requirements

Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course certificate from the State of New Mexico or must pass and receive a Defensive Driving Course certificate as a condition of continued employment.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
