About the role

Duties

Serves as secretary and principle administrative support position to the office supervisor. Coordinates the work of the office to ensure that work is in compliance with that of higher level offices (DOI - Office of Civil Rights (OCR)). Responds to inquiries and administrative problems brought to the office supervisor by members of staff.

Makes travel arrangements for the staff. Prepares Time and Attendance reports for the Division Chief’s staff. Maintains the appointment schedule for the Office Chief. Plan and arrange meetings. Assist the supervisor and assigned staff in preparation of travel authorizations vouchers, training requests, etc.

Recurring supplies, equipment, repair, and maintenance services for the OCR. Ensures that the clerical staff operates effectively during changes in priorities and workload.

Assist supervisor by tracking appropriate budget categories. May assist the supervisor by preparing and submitting appropriate personnel documents (i.e., personnel actions, within grade increases, awards)

Qualifications

Specialized Experience Requirements : To qualify for this position, you must demonstrate that you possess one year of specialized experience, equivalent to at least a next lower grade level.

For the GS-07: Applicant must have one year of specialized experience equivalent to the GS-06 grade level experience. Examples of specialized experience at the GS-06 or equivalent level include: Experience coordinating and controlling clerical and administrative work, allowing management to concentrate on professional and management duties; experience with communicating with high level officials both internally and externally; and the ability to work efficiently under pressure created by a diversified workload, large work volume, and tight deadlines.

Substitution of Education: There is no substitution of education for experience at this level.

Selective Placement Factors: This position requires a special qualification that has been determined to be essential to perform the duties and will be used as a screen out element. Those who do not provide evidence they possess the following selective factor(s) will be rated not qualified.

Selective Factor 1: This position requires a qualified typist, able to type a minimum of 40 words per minute (based on a 5-minute sample with 3 or less errors).

Experience must be sufficient to demonstrate that the applicant possesses the knowledge, skills, and abilities required to perform work in the occupation.

You must meet all qualification requirements within 30 days of the closing date of the announcement.

Federal employees in the competitive service are also subject to the Time-in-Grade requirement in accordance with 5 CFR 300.64. If you are a current Federal employee in the General Schedule (GS) pay plan and applying for a promotion opportunity, you must have completed a minimum of 52 weeks at the next lower grade level in the normal line of progression for the position being filled.
