About the Role
An established distribution organisation is seeking a Supply Chain Project Coordinator to coordinate complex distribution projects from initiation through completion, ensuring orders, inventory, warehouse activities and shipments are completed accurately and on schedule.
The role works closely with warehouse operations, value-added services, transportation, purchasing, sales and customer service teams. It combines project coordination, supply chain operations, quality control, SAP administration and shipment management .
The ideal candidate is highly organised, analytical and detail-oriented, with the ability to manage multiple priorities, identify potential issues early and coordinate solutions across different teams.
Key Responsibilities
Project & Order Coordination
- Coordinate Pre-Pack and Rollout projects from inception through completion.
- Communicate project requirements and status updates to internal teams and external partners.
- Work with Value-Added Services (VAS), Warehouse and Product Information teams to coordinate project requirements.
- Verify quantities required for Rollout projects and coordinate required inventory adjustments.
- Review Pre-Pack and Rollout orders, including stock transfers and special-order receipts.
- Coordinate order picking, invoicing and shipment preparation.
- Maintain project calendars, checklists and tracking tools to ensure all required activities are completed.
- Monitor project progress and proactively identify potential delays or issues.
- Escalate operational issues to appropriate management when required.
Warehouse & Inventory Coordination
- Coordinate with warehouse teams on product staging, order building and shipment preparation.
- Verify that deliveries are complete following warehouse selection.
- Ensure products are packed and palletised correctly according to requirements.
- Coordinate back-order selection to support complete shipments.
- Verify inventory and delivery information within SAP.
- Configure and maintain maximum pick-bin requirements where applicable.
- Work with internal departments to obtain required product, inventory and order information.
Quality & Accuracy
- Conduct quality and accuracy audits on completed Pre-Pack and Rollout orders before shipment.
- Verify product quantities, documentation and shipment requirements.
- Review customer Bills of Lading (BOLs) against invoices to ensure items and quantities are accurate.
- Confirm that required shipping documentation and check-in paperwork is complete.
- Identify discrepancies and coordinate corrective actions before shipment.
- Support high-profile, international and other specialised orders requiring additional quality checks.
Transportation & Shipping
- Verify shipment requirements, including:
- Pallet height restrictions
- Special labelling
- Loading dock availability
- Pallet jack requirements
- Lift-gate requirements
- Customer-specific delivery instructions
- Coordinate delivery requirements with transportation providers and assigned carriers.
- Monitor the transfer of custody throughout the delivery process.
- Support on-time delivery performance.
- Obtain freight rates from selected carriers and complete shipment cost documentation.
- Prepare pallet IDs and check-in documentation for loading.
- Create shipments and group waves within SAP and verify that all deliveries are accounted for.
Systems & Reporting
- Complete required processing and documentation within SAP .
- Maintain spreadsheets and operational tracking tools covering deliveries, shipments and group waves.
- Update project and shipment information accurately and in a timely manner.
- Maintain accurate project records and supporting documentation.
- Provide status updates, project results and issue reporting to relevant management.
- Respond to operational enquiries from VAS and other internal teams.
Requirements
- Bachelor’s degree in Supply Chain, Operations, Business or a related field plus 2+ years of relevant Supply Chain and/or Quality Control experience; or
- High school diploma/GED plus 5+ years of relevant Supply Chain and/or Quality Control experience.
- Previous experience in supply chain operations, distribution, warehouse operations or quality control.
- Advanced proficiency in Microsoft Excel, Access and Word .
- Strong analytical and problem-solving abilities.
- Excellent attention to detail and accuracy.
- Strong organisational and time-management skills.
- Ability to manage multiple projects, priorities and deadlines.
- Excellent written and verbal communication skills.
- Ability to work independently as well as collaboratively.
- Comfortable communicating with employees and management at different levels.
- Ability to proactively identify issues and coordinate effective solutions.
- Ability to lift up to 45 lbs (approximately 20 kg) when required.
Preferred
- Previous experience with SAP .
- Supply chain experience within a distribution centre or high-volume distribution environment.
- Experience coordinating warehouse, transportation and shipment activities.
- Experience with project tracking, inventory control or quality auditing.
Working Environment
- On-site distribution centre environment.
- Regular collaboration with warehouse, transportation, VAS, purchasing, sales and customer service teams.
- Fast-paced operational environment requiring strong prioritisation and attention to detail.
- Physical activity may occasionally be required, including lifting up to 45 lbs.
