Purchasing Assistant Buyer

About This Role

This purchasing assistant buyer role involves evaluating and facilitating purchase order approvals, coordinating deliveries, and managing claims. The position requires designing purchasing contracts, specifying equipment, and reviewing bids, while also maintaining inventory, records, and vendor relationships.

Responsibilities

• Evaluate and facilitate approval on all purchase orders
• Coordinate with assistants and buyers to ensure accuracy of all deliveries
• Monitor and evaluate all purchase order claims and ensure compliance to all company regulations
• Design all purchasing contracts and associate procedures and policies
• Design specifications for all services and equipment
• Recommend appropriate substitutes for supplies
• Review all purchase specifications and issue appropriate bids to all suppliers
• Organize and participate in various meetings
• Prepare required reports to identify appropriate purchasing requirements
• Design an efficient business plan to achieve all objectives
• Perform inventory inspections and reorder supplies and stock as necessary
• Update and maintain records of all orders, payments, and received stock
• Establish professional relationships with clients as well as vendors and suppliers
• Serve as the primary point of contact for all purchasing inquiries
• Resolve any discrepancies with vendors in a timely manner
• Maintain accurate records of all purchases, including invoices and receipts
• Reconcile vendor statements on a monthly basis

Requirements

• Bachelor's Degree in any 4-year business-related course
• At least 1 to 2 years of experience in Retail Merchandising, handling modern trade or store chain
• Strong background in administrative and clerical assignments with expertise on Microsoft Office (e.g., MS Word, Excel, Access, PowerPoint) and Open Office - Intermediate level
• Great organizational, planning, and time management skills
