Supporting an established healthcare provider serving patients across multiple locations, the Pre-Op Coordinator ensures surgical cases are authorized, cleared, and prepared on time. Qualifications

  • Bachelor's degree in Healthcare Administration or a related field is an advantage
  • At least 2 years of experience as a Preoperative Coordinator or in a similar healthcare coordination role
  • Knowledge of medical terminology and surgical procedures
  • Experience coordinating preoperative requirements, medical clearances, and surgical authorizations
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and a professional, compassionate approach to patient service
  • Proficiency in Microsoft 365, Adobe Acrobat, Google Calendar, and electronic health record systems
  • Ability to maintain accurate and confidential patient documentation
  • Ability to work independently and collaborate effectively with clinical and administrative teams

Responsibilities

  • Manage all preoperative requirements for surgical patients, from initial coordination through final clearance.
  • Submit, monitor, and follow up on authorizations for preoperative and surgical procedures.
  • Contact patients to schedule preoperative appointments, provide instructions, and confirm where required clearances will be completed.
  • Send reminders regarding procedures, laboratory tests, medical clearances, and outstanding requirements.
  • Coordinate with provider offices to obtain preoperative clearances, test results, and clinical notes.
  • Follow up with patients and healthcare providers to ensure all documentation is completed within the required timelines.
  • Upload and transmit preoperative clearances and supporting documents to surgical facilities.
  • Partner closely with the Surgery Coordinator to ensure cases are authorized, fully cleared, and ready to proceed.
  • Maintain accurate records in the electronic medical record system while complying with internal, insurance, and facility requirements.
  • Communicate professionally with patients, providers, surgical facilities, and insurance representatives.
  • Assist with rescheduling procedures and updating surgery dates based on authorization and clearance status.
  • Identify potential delays and promptly escalate concerns to support timely case completion.
