Personal Assistant

About This Role

This temporary Personal Assistant role provides comprehensive support to designated directors, ensuring they have the assistance needed to perform their duties effectively. As part of the personal assistant team, you will also help maintain a consistent, high-quality service by supporting the Chair and all Directors as required.

Responsibilities

• Provide a full personal assistant service to designated Directors to ensure the smooth and efficient organization and execution of their responsibilities
• Be the first point of contact for Directors' visitors and telephone callers, providing information, advice, and guidance to meet their needs
• Ensure all visitors and callers are handled in a manner that enhances the reputation of the Directors, the Executive, and the Trust
• Make judgments and take actions necessary to resolve inquiries, requests, and issues raised by managers, staff, external organizations, and members of the public, within agreed parameters with the Director
• Manage the Directors' diaries, making decisions on whether and when appointments are made, based on the issue, caller needs, and the Director's workload priorities and commitments
• Type and format correspondence, reports, and presentations from dictation or drafts prepared by the Director
• Design and create correspondence, reports, and presentations on behalf of the Director, within agreed parameters
• Ensure the provision of information required for Board reports, obtaining, collating, and presenting the information as required
• Prepare agendas and take notes of meetings for the Director as required
• Take and transcribe minutes of specified Trust committees
• Develop and maintain monitoring systems for obtaining information and reports regularly required by the Director
• Ensure that information is obtained on time
• Coordinate and/or expedite arrangements to ensure the effective and timely handling of formal patient and non-patient complaints, formal staff grievances, and disciplinary meetings for which the Director has a responsibility, communicating with complainants and staff involved as required

Requirements

• Knowledge of Microsoft Office Packages including Outlook & Teams
• PA / EA experience
• Excellent organization skills
• Minute taking skills
• Competent typing skills
