Skills Required

Primary (Must-Have)

  • High School Diploma or GED.
  • Minimum 1 year of recent experience in an outpatient clinic or medical office setting.
  • Experience with medical insurance, referrals, authorizations, and benefit plans.
  • Strong customer service and patient-facing communication skills.
  • Ability to read, understand, and respond to detailed oral and written instructions.
  • Strong attention to detail and accuracy when handling patient information and registration.
  • Ability to manage multiple administrative tasks in a fast-paced healthcare environment.

Secondary (Good to Have)

  • 2+ years of recent experience as a Patient Services Representative.
  • Experience with CS-Link, Epic, or a similar EMR system.
  • Knowledge of medical terminology.
  • Experience handling patient payments, co-payments, and daily reconciliation.

Position Overview

The Patient Services Representative serves as the primary point of contact for patients, providing professional and compassionate customer service both in person and over the phone. This position supports daily clinic operations by managing patient intake, scheduling, registration, insurance verification, referrals, and administrative coordination.

The ideal candidate will have strong healthcare administrative experience, excellent communication skills, attention to detail, and the ability to provide a seamless patient experience while maintaining confidentiality and accuracy.

Roles & Responsibilities

Patient Services & Front Desk

  • Serve as the primary contact for patients in person and by phone.
  • Greet patients professionally, answer questions, address concerns, and escalate issues when appropriate.
  • Perform patient check-in and check-out procedures accurately and efficiently.
  • Provide information regarding clinic policies, procedures, services, and appointment requirements.
  • Maintain professional and compassionate interactions with patients, families, and healthcare staff.

Registration & Insurance

  • Verify and update patient demographics and insurance information in the EMR system.
  • Complete accurate patient registration and appointment documentation.
  • Verify insurance coverage, benefits, and eligibility as required.
  • Process and track referrals and insurance authorizations.
  • Ensure required documentation is complete and accurate before appointments.

Scheduling & Administrative Support

  • Schedule, reschedule, and coordinate patient appointments.
  • Manage communication between patients and healthcare providers.
  • Collect co-payments and other applicable patient payments.
  • Issue receipts and assist with daily payment reconciliation.
  • Maintain accurate patient records and administrative documentation.
  • Support overall clinic operations and perform other duties as assigned.

Compliance & Workspace

  • Protect patient confidentiality and handle sensitive information appropriately.
  • Follow departmental policies, procedures, and healthcare regulations.
  • Maintain a clean and sanitized workspace in accordance with departmental guidelines.
  • Demonstrate professionalism, reliability, and strong customer service at all times.

Minimum Qualifications

  • High School Diploma or GED required.
  • At least 1 year of recent experience in an outpatient clinic or medical office setting.
  • Experience with medical insurance, referrals, and benefit plans.
  • Strong written and verbal communication skills.
  • Ability to understand and follow detailed oral and written instructions.
  • Strong organizational and multitasking abilities.

Preferred Qualifications

  • 2+ years of recent experience as a Patient Services Representative.
  • Experience with CS-Link, Epic, or similar EMR systems.
  • Knowledge of medical terminology.
  • Experience with patient payment collection and reconciliation.

Work Environment

  • Onsite outpatient healthcare/medical office environment.
  • Frequent interaction with patients, families, healthcare providers, and administrative staff.
  • Fast-paced environment requiring professionalism, accuracy, confidentiality, and excellent customer service.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to communicate effectively with patients and staff in person and by phone.
  • Ability to perform routine front-desk and administrative activities.
  • Ability to use computers, telephones, and other standard office equipment for extended periods.
