Our client is a growing provider of home respiratory care, durable medical equipment, and home medical supplies. The organization supports patients and families through compassionate service, clinical expertise, and reliable access to life-sustaining respiratory equipment and supplies.
We are seeking an experienced Patient Intake Coordinator to manage the front end of the DMEPOS revenue cycle. This position will oversee the new patient intake process from referral through qualification, ensuring documentation is complete, accurate, compliant, and ready for billing.
This is a foundational opportunity to work directly with senior revenue cycle leadership and help build the intake function as the organization grows.
What You’ll Do
- Manage the new patient intake process from referral through qualification and billing handoff
- Receive and process referrals through phone, email, fax, and system-based channels
- Verify patient demographics, insurance coverage, eligibility, benefits, and clinical information
- Obtain and track prior authorizations, approvals, expirations, and renewals
- Coordinate patient registration, respiratory therapist scheduling, equipment deliveries, and recurring supply drops
- Ensure documentation meets DMEPOS qualification requirements, including WOPD, CMN, proof of delivery, and medical necessity
- Translate clinical documentation and ICD-10 diagnoses into accurate HCPCS codes for respiratory equipment, DME, and supplies
- Partner with referral sources, clinical teams, billing staff, and delivery teams to resolve documentation or reimbursement gaps
- Track new patient and referral volume metrics and communicate trends to leadership
- Handle inbound and outbound patient and family calls, including escalations, with patience, warmth, and professionalism
- Maintain compliance with payer requirements, CMS DMEPOS standards, HIPAA, and applicable regulations
What You Bring
- 2+ years of DMEPOS intake, patient registration, or front-end revenue cycle experience
- Hands-on familiarity with home respiratory therapies, including ventilators, oxygen therapy, CPAP, and BiPAP
- Experience verifying eligibility and benefits and obtaining prior authorizations through Medi-Cal, Medicare, and commercial payers
- Strong Medi-Cal DMEPOS experience
- Experience coordinating home medical supplies, recurring supply orders, consumables, and inventory-related workflows
- Working knowledge of DMEPOS documentation, ICD-10 diagnoses, HCPCS codes, and modifiers
- Familiarity with EMR/EHR, order management, and billing systems
- Ability to work full-time onsite in Newbury Park, California
Preferred Qualifications
- Bilingual in English and Spanish
- Pediatric or home respiratory intake or billing experience involving oxygen, PAP, ventilators, or nebulizers
- Experience building or tracking revenue cycle metrics
- Experience working in a high-growth or ground-floor environment
- California Home Medical Device Retailer Exempted Certificate
