Onboarding Specialist

About This Role

An Onboarding Specialist manages onboarding workflows, tracks progress against key milestones, and ensures all required processes are completed before commencement. This role acts as a central point of contact for onboarding-related queries, coordinates with relevant stakeholders, and ensures information is recorded correctly within business systems. Through strong organization, clear communication, and attention to detail, you will help deliver a consistent, efficient, and professional onboarding process.

Responsibilities

• Coordinate end-to-end client and worker onboarding, including contracts, documentation, compliance checks, and inductions
• Ensure onboarding activities are completed accurately, efficiently, and within required timeframes
• Manage and respond to requests from workers, clients, and internal teams through ticketing systems or similar customer support platforms, ensuring queries are addressed within agreed service levels
• Conduct onboarding milestone care calls with clients and workers to gather feedback, identify concerns, and support a positive experience
• Assist with general HR and employment-related queries, including policies, leave entitlements, recruitment processes, and payroll enquiries
• Prepare, maintain, and update accurate employee documentation, onboarding records, and system information
• Liaise with HR, payroll, recruitment, and other internal teams to resolve queries and escalate complex matters where appropriate, while maintaining ownership of the employee experience
• Monitor onboarding progress, follow up on outstanding documentation, and proactively address potential delays
• Contribute to reporting, compliance activities, and continuous improvement initiatives to enhance onboarding processes and service delivery

Requirements

• Previous experience in onboarding, HR, recruitment, staffing operations, customer service, or a similar coordination role
• Strong communication and relationship-building skills, with the ability to engage professionally with clients, workers, and internal stakeholders
• Experience using ticketing systems, customer support platforms, or similar request management tools
• Confidence conducting onboarding calls, check-ins, and follow-ups with clients and workers
• Understanding of basic HR processes, employment documentation, worker entitlements, and onboarding best practices
• Strong organizational skills, with excellent attention to detail and the ability to manage multiple priorities
• A proactive, solutions-focused approach, with a commitment to delivering a positive client and worker experience
