About the role

What We Need
Corpay is currently looking to hire an experienced Office Coordinator who brings confidence, ownership and a practical approach to a varied workplace role. Joining our Administrative Support division, you will champion operational efficiency for Corpay’s International Vehicle Payments (IVP) portfolio, a global leader in cross-border fleet logistics and expense management.

This is an in-office role currently based in our Ellerslie location, which serves as our New Zealand Head Office and supports approximately 100 employees, with plans to relocate to a modern, conveniently located office in the Auckland area within the next 12–18 months. You will report directly to the Executive Assistant to the Managing Director, who is based in our Melbourne office.

In this role, you’ll take ownership of the day-to-day office experience, balancing a variety of priorities while being the trusted person who keeps things moving. From coordinating stakeholders to resolving practical issues, you’ll play a key role in ensuring the office operates smoothly and professionally. You’ll be trusted to make decisions, improve processes and oversee the day-to-day operation of our office. Staff engagement is an important part of the role, with a focus on creating a welcoming, connected and positive office experience.

You’ll be confident engaging with people at all levels, building strong relationships, managing competing priorities and handling different viewpoints with professionalism, resilience and sound judgement. You’ll bring practical confidence, clear boundaries and a genuine focus on creating a positive, engaging workplace experience.

How We Work
As Office Coordinator, you’ll be based onsite in our Ellerslie office, five days per week. Corpay will support you with the tools, training and workplace benefits needed to settle in and succeed, including:

  • Assigned workspace in the Ellerslie office

  • Formal, hands-on training

Role Responsibilities
The responsibilities of the role will include:

  • Coordinating the smooth day-to-day running of the office, including meeting rooms, workspaces, seating plans and visitor coordination
  • Coordinating catering for office events, staff engagement activities and regular executive meetings
  • Overseeing office supplies, stationery, procurement, office spending and vendor relationships
  • Coordinating facilities requests, building maintenance, workplace services and sustainability initiatives
  • Supporting workplace technology and equipment in partnership with IT
  • Administering parking, desk bookings and workplace systems
  • Supporting employee onboarding, workplace communications and general office administration
  • Coordinating Health & Safety administration, office walkthroughs, first aid supplies and related workplace requirements
  • Preparing meeting minutes for the Health & Safety Committee meetings
  • Office updates and internal communications
  • Supporting operational projects, workplace improvements and broader administration needs
  • Acting as a trusted point of contact for employees, suppliers, visitors and business leaders

Qualifications & Skills

  • Experience in office coordination, workplace management or facilities coordination within a corporate office environment
  • Proven ability to manage multiple competing priorities while maintaining strong organisation, accuracy and attention to detail
  • Confidence coordinating facilities requests, workplace services, maintenance activities and practical office requirements
  • Experience supporting Health & Safety administration, workplace walkthroughs, first aid requirements or related compliance activities
  • Experience coordinating procurement, office supplies, suppliers, vendors or workplace service providers
  • Strong stakeholder management skills, including the confidence to engage professionally with employees, suppliers, visitors and senior leaders
  • Clear communication skills, with the ability to have direct, respectful conversations and respond calmly when priorities change
  • Sound judgement, maturity, professionalism and a solutions-focused approach under pressure
  • Strong Microsoft Office skills, including Outlook, Teams and Microsoft Office applications; experience with workplace systems, desk booking tools or similar platforms will be highly regarded
