OMD New Zealand is looking for a proactive and people-focused Front of House & Office Coordinator to join our Auckland team on a fixed-term contract through to March 2027 . As the face of our agency, you'll play a pivotal role in creating an outstanding experience for our people, clients, and visitors while helping keep our offices running smoothly behind the scenes.
About The Role As the first point of contact for our agency, you'll create a welcoming and professional environment for employees, clients, candidates, and visitors. You'll work closely with our Executive Assistant, leadership team, and People & Culture function to deliver a seamless workplace experience across our Auckland offices.
No two days are the same. One moment you'll be greeting clients and coordinating meetings, the next you'll be organising a team event, managing travel arrangements, or supporting office-wide initiatives.
What You'll Be Doing
- Acting as the face of OMD, creating a welcoming and professional experience for clients, visitors, candidates, and employees.
- Managing reception, incoming calls and emails, visitor sign-ins, parking, and office security processes.
- Coordinating meeting rooms, internal and client meetings, catering, and AV/technology requirements.
- Ensuring office, kitchen, reception, and communal spaces remain organised, stocked, and presentation ready.
- Managing office supplies, stationery, merchandise, equipment maintenance, and supplier relationships.
- Supporting travel bookings, meeting coordination, presentations, agendas, minutes, and general administration.
- Assisting senior leaders and the Executive Assistant with day-to-day operational and administrative support.
- Managing couriers, deliveries, office communications, staff directories, seating plans, and office procedures.
- Coordinating agency events, conferences, celebrations, and client functions from planning through to delivery.
- Supporting wellbeing, culture, inclusion, and employee engagement initiatives across the business.
- Partnering with vendors and stakeholders to deliver seamless workplace and event experiences while monitoring associated budgets.
This role offers a unique blend of front-of-house, administration, office operations, travel coordination, and event management, making it ideal for someone who enjoys variety and wants to develop broad business support skills.
About You We're looking for someone who genuinely enjoys helping others and takes pride in creating positive experiences. You may already have experience in office administration or coordination, or you may be looking to transition from hospitality, retail, events, or another customer-focused environment where organisation and service excellence are key.
You'll Bring
- Experience in Front of House, Administration, Office Coordination, Hospitality, Retail, Events, or a similar customer-focused role
- Excellent communication and relationship-building skills
- A professional, positive, and approachable manner
- Strong organisational skills and attention to detail
- The ability to juggle multiple priorities in a busy environment
- Intermediate Microsoft Office skills, including Word, Excel, and PowerPoint
- A proactive attitude and willingness to get stuck in
- Strong judgement and discretion when handling confidential information
- The confidence to work independently while collaborating effectively with a wide range of people
