Office Assistant

About This Role

Working under the direct supervision of the office manager, the office assistant handles patient registration, insurance eligibility, and front desk operations. This role suits a candidate who can manage administrative tasks efficiently while providing excellent patient service.

Responsibilities

• Ensure all patients' registration and demographics information is correct and updated as needed
• Monitor daily schedule, schedule/reschedule appointments when necessary (e.g., doctor’s illness, meetings, or vacation)
• Obtain referrals and insurance information
• Complete clerical chart prep, prepare and print visit summaries, receipts, and other related documents
• Report any potential compliance concerns to the appropriate person
• Recommend to the office manager any process improvements needed to improve quality of service
• Maintain appearance and cleanliness of the reception area
• Actively engage in team huddles and staff meetings
• Promote the daily workflow
• Prep charts in advance of visits
• Greet all participants to the practice with immediate acknowledgment, eye contact, and a smile
• Complete check-in process and demographic updates in a timely manner
• Manage patient expectations with clear explanations
• Use good telephone technique, including a 4-part greeting and a 3-rings or less guideline
• Observe transfer and on-hold techniques
• Properly enter patient demographics
• Greet patients while answering the phone lines
• Take appropriate phone messages
• Create referrals
• Provide information to and for the patients
• Distribute mail
• Assist other employees as needed
• Identify, correct, and report compliance, insurance, and billing anomalies as they are recognized

Requirements

• High school diploma or equivalent (Preferred)

Nice to have:

• Medical office experience
