Medical Records Specialist

About This Role

Managing the accuracy, organization, and confidentiality of patient health records is the core of this specialist role. The Medical Records Specialist handles electronic medical records, responds to patient inquiries, processes chart updates, and assists with documentation, all while ensuring compliance with HIPAA and organizational policies.

Responsibilities

• Respond to medical records inquiries by telephone and email
• Maintain accurate patient records, including chart corrections, updates, scanning, and filing
• Verify patient information and insurance documentation
• Manage EMR tasks and coordinate corrections with system vendors
• Schedule medical records-related appointments and process records requests
• Assist with medical records coding, organization, and document identification
• Coordinate patient data transfers with authorized vendors and third parties
• Maintain patient confidentiality and comply with HIPAA and applicable regulations
• Collaborate with team members to meet deadlines and support daily operations
• Perform additional duties as assigned

Requirements

• High school diploma or equivalent required
• Minimum six months of training in an allied health field or related healthcare business management program; relevant experience and skills may substitute for academic training
• Ability to navigate electronic health records and accurately enter data
• Basic proficiency in Microsoft Word, Excel, and Outlook
• Strong communication, organizational, and customer service skills
• Ability to prioritize responsibilities, maintain confidentiality, and meet deadlines
