We are seeking an experienced, organized, and proactive Office Manager to oversee the daily operations of our Kendall office and help maintain an efficient, professional, and welcoming environment.
Position Summary
The Office Manager is responsible for overseeing the day-to-day administrative and operational functions of the clinic. This role ensures the office operates efficiently by coordinating administrative processes, supervising office support functions, managing vendors and facilities, and supporting leadership with operational initiatives.
The ideal candidate is a strong multitasker, an effective communicator, and a natural problem solver who thrives in a fast-paced healthcare environment.
Key Responsibilities
- Manage the daily operations of the office to ensure efficiency and organization.
- Supervise front office administrative functions and support staff.
- Coordinate office supplies, equipment, maintenance, and vendor relationships.
- Assist with scheduling, calendars, meetings, and executive administrative support.
- Maintain office policies, procedures, and operational documentation.
- Support employee onboarding and coordinate office logistics for new hires.
- Oversee facility needs and ensure a safe, clean, and professional work environment.
- Coordinate company meetings, trainings, and employee engagement activities.
- Monitor office expenses, purchase requests, and administrative budgets.
- Serve as the primary point of contact for office-related issues and administrative inquiries.
- Collaborate with department leaders to improve workflows and operational efficiency.
- Maintain confidentiality while handling sensitive business and employee information.
Qualifications
- Bachelor's degree in Business Administration, Healthcare Administration, Management, or a related field preferred.
- Minimum of 3 years of office management or administrative leadership experience.
- Previous experience in a healthcare, medical office, or clinical research environment is highly preferred.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to prioritize multiple projects while meeting deadlines.
- Professional, dependable, and customer-service oriented.
- Bilingual (English/Spanish) required.
