Position Description
Performs administrative support-related work in a maintenance office or district headquarters. Work requires contact with private entities. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.
Essential Duties: Maintenance Support Tech I:
- Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
- Assists in preparing monthly and final maintenance contract estimates.
- Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on adjustments needed.
- Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, travel information, and/or permitting activities.
- Monitors and assists with data entry for maintenance contract record keeping.
- Reviews and processes records of completed maintenance projects.
- Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.
- Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
- Processes receipts and invoices for payment.
- Performs other job responsibilities as assigned.
Maintenance Support Tech II (in addition to the above):
- Assists with data entry for construction record-keeping.
- Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and sensitive communications.
Maintenance Support Tech III (in addition to the above):
- Create and maintains related activity logs, files and reports on services.
- Logs, files, and cross-references correspondence; and verifies documents/records.
- Prepares monthly and final maintenance contract estimates.
- Maintains materials inventory.
Maintenance Support Tech IV (in addition to the above):
- Trains other clerical or Technical Staff
- Provides technical assistance to others in using personal computer and/or software applications
- Provides assistance to the public

Maintenance Support Tech I - IV:
High School Grad or Equivalent in general education
Experience:

Experience must be in administrative or clerical support, customer service, or related experience.

- Valid driver’s license. This position requires driving a state vehicle.

Physical Requirements and Working Conditions:
Maintenance Support Tech I - IV:
- Sedentary work: Lift up to 10 lbs. at a time and occasionally carry files/small tools
- Light work: Lift up to 20 lbs. at a time and frequently lift or carry objects up to 10 lbs.

- Employee may be contacted after hours and on weekends to respond to emergency situations and must be able to respond within 45 minutes of notification.
