Logistics Coordinator

About This Role

Ensuring that all international product shipments comply with company policy, laws, and contractual requirements is the core of this role. The Logistics Coordinator computes duties, tariffs, and weight, volume, and price conversions of merchandise exported to or imported from foreign countries.

Responsibilities

• Manage and coordinate transports with approved carriers
• Manage all parts and kitting activities on the dock for shipment (obtain kit lists from engineer, ensure necessary packaging for each project)
• Review shipment materials before kitting (materials available)
• Verify kitting of all components with photos that will be stored in the project folder
• Collaborate with Shipping & Receiving and oversee the materials coming in and going out daily
• Ensure POs are received and closed once incoming inspection is complete
• Order transports, negotiate prices and terms
• Negotiate with suppliers and monitor shipping costs
• Prepare all required transport documents
• Communicate with other departments (planning, store, assembly)
• Communicate with customers and transporters
• Prepare shipping invoice for customs purposes
• Manage all related processes (support of selection procedure, issuing of orders; checking of agreed purchasing conditions)
• Improve overall supply chain performance
• Manage inventory
• Manage storage of parts and goods arriving
• Plan, coordinate, and oversee the movement of goods
• Ensure smooth handover of all shipping documents and photos to the Project Manager
• Liaise with all Project Managers for shipping schedules
• Manage orders that are or near completion and stored off-site at other locations
• Confirm all HTS codes for items leaving the United States
• Track all orders to delivery and ensure PODs are available to the Project Managers for invoicing purposes
• Identify and report all safety observations on a daily basis
• Maintain logs and records of warehouse stock, executed orders, etc.

Requirements

• Ability to read, write, and speak English fluently
• Ability to work effectively under tight deadlines
• Strong Excel skills including the following functions: all basic arithmetic formulas, "if" formulas, "count" formulas, "vlookup" formula, sorting and auto filters, pivot table functions, and various charts/graphs
• Strong critical thinking and problem-solving skills
• Familiarity with "Lean" process and "Six Sigma" principles in administrative processes
• Bachelor-level degree and/or combination of education and experience with a business or international logistics emphasis
