LITIGATION SECRETARY Location: Oakland, CA (Hybrid)

Compensation

  • Hourly Rate: $47.00 - $54.00 per hour
  • Comprehensive benefits package.

Job Summary Our client is seeking an experienced Litigation Secretary to support a Managing Partner at a well-established plaintiff litigation firm in Oakland, California.

This is a fast-paced position supporting a seasoned attorney who manages multiple high-priority litigation matters simultaneously. The ideal candidate is highly organized, thrives in a deadline-driven environment, and has extensive experience supporting litigation attorneys.

This is a hybrid position following the initial training period. During the first 1–2 months, employees are expected to work onsite full-time.

Responsibilities

  • Prepare, format, proofread, and file pleadings, motions, briefs, correspondence, and other legal documents.
  • Generate and maintain Tables of Contents and Tables of Authorities.
  • Electronically file documents in California State and Federal Courts.
  • Manage attorney calendars, court deadlines, hearings, and scheduling to ensure timely filings.
  • Prepare correspondence, case summaries, charts, and other litigation support materials.
  • Order, organize, and maintain case files, records, and legal documentation.
  • Coordinate with attorneys and paralegals regarding case activity, court filings, and litigation deadlines.
  • Attend meetings as needed to take notes and provide administrative support.
  • Assist with overflow assignments and provide coverage for other litigation secretaries.
  • Successfully manage multiple priorities while maintaining exceptional accuracy in a fast-paced legal environment.

Qualifications

  • Previous experience as a Litigation Secretary supporting litigation attorneys is required.
  • Plaintiff-side asbestos litigation experience is highly preferred.
  • Strong knowledge of litigation procedures and court filing requirements.
  • Experience with California State and Federal Court electronic filing systems.
  • Proficiency with Microsoft Office Suite, Best Authority, and document management systems.
  • Excellent proofreading, word processing, organizational, and time management skills.
  • Ability to prioritize multiple deadlines while maintaining a high level of accuracy.
  • Strong written and verbal communication skills.
  • College degree or equivalent professional experience preferred.
  • Spanish fluency is a plus but not required.
