Job Summary

We are seeking an organized, detail-oriented, and proactive HR Operations Executive / Senior Executive to join our team. The ideal candidate will be responsible for managing day-to-day HR operations, employee lifecycle processes, HR documentation, payroll coordination, compliance, and employee support.

The role will play an important part in ensuring smooth and efficient HR operations while maintaining accuracy, confidentiality, and compliance with company policies and applicable regulations.

Key Responsibilities

HR Operations

  • Manage end-to-end HR operations across the employee lifecycle, from onboarding to separation.
  • Coordinate employee onboarding, documentation, induction, and joining formalities.
  • Maintain and regularly update employee records, HR databases, and personnel files.
  • Manage employee attendance, leave, regularization, and related HR processes.
  • Coordinate with payroll teams for monthly payroll processing and ensure timely sharing of payroll inputs.
  • Administer employee benefits and support employees with benefit-related queries.
  • Handle employee queries related to HR policies, processes, payroll, leave, attendance, and benefits.
  • Ensure timely issuance and maintenance of HR letters, documents, and employee records.
  • Manage employee confirmation, transfers, promotions, and other employee lifecycle activities.
  • Coordinate full and final settlement and exit formalities for separating employees.

Payroll & Statutory Compliance

  • Coordinate monthly payroll inputs and ensure accuracy of employee-related payroll data.
  • Prepare and file statutory challans and support statutory compliance requirements, including PF, ESI, LWF, and PT.
  • Maintain statutory records and documentation and ensure timely compliance with applicable labour laws.
  • Coordinate with internal and external stakeholders for payroll and compliance-related activities.
  • Support internal and external audits by providing required HR and compliance documentation.

HRIS & Documentation

  • Maintain accurate employee data in the HRMS/HRIS and ensure timely updates.
  • Monitor HRMS processes related to attendance, leave, employee records, and other HR operations.
  • Generate and maintain HR reports and dashboards as required.
  • Ensure proper documentation and confidentiality of employee information.
  • Identify gaps in HR processes and support improvements and automation initiatives.

Employee Engagement & Support

  • Provide timely and professional support to employees on HR-related queries and concerns.
  • Assist in implementing employee engagement initiatives and HR programs.
  • Support the implementation and communication of HR policies and processes.
  • Maintain confidentiality while handling sensitive employee information and concerns.

Qualifications & Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 35 years of relevant experience in HR Operations.
  • Strong knowledge of HR operations, payroll processes, and statutory compliances.
  • Hands-on experience with PF, ESI, LWF, and PT compliances.
  • Good understanding of employee lifecycle processes and HR documentation.
  • Experience working with HRMS/HRIS platforms.
  • Strong proficiency in MS Excel and other MS Office applications.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • High level of accuracy and attention to detail.
  • Ability to maintain confidentiality and handle sensitive employee information.

Preferred Skills

  • Experience in a staffing/IT staffing organization will be an advantage.
  • Hands-on experience with HRMS/HRIS implementation or process automation.
  • Strong Excel and HR reporting skills.
  • Knowledge of applicable labour laws and statutory requirements.
  • Experience in handling payroll coordination and employee lifecycle processes.
