About The Company Bell Ambulance is a progressive, client-oriented company devoted to providing high-quality emergency and non-emergency medical services. Bell Ambulance has operated since 1977 and has grown into the largest ambulance service provider in Wisconsin. We are a certified and contracted provider in the City of Milwaukee 911 system. We receive more than 120,000 calls per year. We have 14 locations in southeastern Milwaukee. We provide BLS, ALS, and Critical Care services, and we currently employ more than 700 people.
About The Role The HR Admin Assistant plays a vital foundational role in driving smooth daily operations across the Human Resources department. This role delivers high-quality administrative and compliance support to ensure operational excellence, maintain regulatory standards, and enhance the overall employee experience. The position involves handling employee inquiries, supporting onboarding and recruitment processes, maintaining data integrity, and ensuring compliance with licensing and credentialing requirements. The HR Admin Assistant will collaborate closely with HR and operational teams to facilitate seamless communication, accurate record-keeping, and adherence to legal standards. This is an onsite role scheduled from Monday to Friday, 8:00 am to 4:30 pm, designed to support the efficient functioning of the HR department and contribute to the company's ongoing success.
Qualifications
- High school diploma or GED equivalent
- Strong written and verbal communication skills with a customer-service-oriented attitude
- Proven ability to prioritize tasks, manage time effectively, and meet deadlines
- High degree of discretion, integrity, and ability to handle sensitive, confidential HR data
- Proficiency with standard office software and strong computer skills
Responsibilities
- Serve as a point of contact for general employee inquiries, delivering prompt, accurate, and courteous support.
- Assist with day-to-day HR operational tasks and partner on key department initiatives and special projects.
- Generate and analyze routine HR reports for leadership to support data-driven decision-making.
- Maintain precise data entry and manage electronic personnel files in strict accordance with company policy and confidentiality standards.
- Track and document employee time and attendance records across internal systems, identifying trends and monitoring occurrences against company policy thresholds.
- Execute timely communications and escalations to HR and operational leadership when attendance occurrences reach actionable thresholds or require corrective action.
- Handle routine HR correspondence, system file uploads, and general administrative support duties.
- Perform regular audits of HR records management systems to ensure data integrity and compliance.
- Proactively track, monitor, and audit credential and professional license expirations across all operational and support staff.
- Verify active professional licenses and certifications to guarantee ongoing alignment with regulatory standards.
- Identify potential compliance gaps and execute timely escalations to HR and operational leadership to prevent scheduling or service disruptions.
- Ensure all daily operations adhere strictly to federal, state, and local employment laws.
- Validate employee credentials and regulatory compliance to confirm start readiness and eliminate day-one operational delays.
- Partner with the recruitment team to manage pre-employment logistics and coordinate candidate workflows.
- Assist in preparing new hire orientation materials and welcome packets to drive a seamless onboarding experience.
