Responsibilities
- Greet visitors warmly, verify appointments, and direct them appropriately within the office
- Manage multi-line phone systems, answer inquiries promptly, and relay messages accurately
- Maintain organized front desk area, including filing, data entry, and document proofreading
- Handle incoming and outgoing correspondence using Microsoft Office suite, Google Workspace, and productivity software
- Schedule appointments, manage calendars, and coordinate meetings with efficiency
- Support office management tasks such as bookkeeping using QuickBooks and maintaining spreadsheets for record-keeping
- Assist with clerical duties including data entry, document preparation, and ensuring accurate client communication
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry tools
- Excellent computer literacy with technical proficiency in office productivity software and familiarity with QuickBooks
- Strong customer service skills with professional phone etiquette and effective communication abilities in multiple languages (bilingual preferred)
- Ability to handle multi-line phone systems confidently and manage client communication efficiently
- Exceptional organizational skills with attention to detail in proofreading and filing tasks
- Experience with calendar management, time management strategies, and personal assistant responsibilities
- Knowledge of clerical procedures such as filing, document processing, and record keeping
- Demonstrated ability to work independently while supporting team needs in a fast-paced environment
