Description:

The Program Assistant supports the administrative and logistical functions of the L.E.G.A.C.I. Student Success Program, ensuring the smooth operation of success workshops, events, and daily office tasks. This role involves filing, data entry, answering phone calls, and preparing rooms for events, making it integral to the efficient functioning of the program**.**

Key Responsibilities:

1. Administrative Support:

  • Organize and maintain physical and digital files to ensure accurate and up-to-date records.
  • Perform data entry tasks to compile, update, and manage program databases.
  • Answer and direct phone calls, responding to inquiries or forwarding them to the appropriate personnel.

2. Event Preparation and Coordination:

  • Assist with room setup for success workshops, including arranging furniture, equipment, and materials.
  • Prepare workshop supplies such as handouts, sign-in sheets, and other necessary items.
  • Coordinate with team members to ensure all logistical needs are met for events.

3. Customer Service:

  • Serve as a point of contact for program participants, providing friendly and professional assistance.
  • Support program staff with additional tasks as needed to enhance the participant experience.

4. General Office Duties:

  • Monitor and manage office supplies, placing orders when necessary.
  • Maintain a clean and organized workspace in shared areas and event locations.

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic data management systems.
  • Strong organizational skills with keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage time effectively in a dynamic environment.

Qualifications:

  • Must be a current UHD student
  • Must be eligible for Federal Work-Study from Financial Aid
  • Prior experience in an administrative or customer service role is a plus.
