Description B. Scope of Work

The Facilities Officer shall be responsible for the complete facilities management and

engineering operations of the assigned Hanoi sites, including but not limited to:

  • Operation, inspection, and maintenance of all Mechanical, Electrical, Plumbing, Fire
  • Protection (MEPF) systems.
  • Preventive and corrective maintenance planning.
  • Vendor and contractor management.
  • Facilities budgeting and cost control.
  • CAPEX and OPEX planning and execution.
  • Office fit-out, renovation, and workspace improvement projects.
  • Workplace health, safety, and environmental compliance.
  • Asset management and inventory control.
  • Business continuity and emergency preparedness.
  • Utility monitoring and energy optimization.
  • Landlord coordination and lease-related facilities matters.
  • Support for internal and external audits.
  • Compliance with TELUS Digital Global Facilities Standards.

C. Key Responsibilities

  • Facilities Operations
  • Manage the daily operations of assigned office facilities to ensure uninterrupted
  • business operations.
  • Maintain a safe, clean, efficient, and professional workplace environment.
  • Perform regular inspections of office spaces, common areas, IT/ Server/ UPS rooms,
  • and building infrastructure.
  • Respond promptly to facilities incidents, breakdowns, and emergency situations.
  • Coordinate after-hours maintenance and emergency response when required.
  • Engineering:
  • Serve as the site’s Facilities Engineer responsible for:
  • HVAC or Airconditioning systems
  • Electrical distribution systems
  • UPS systems
  • Generator systems
  • Lighting systems
  • Plumbing and sanitary systems
  • Fire Protection Systems
  • Office infrastructure
  • Preventive Maintenance
  • Develop and manage preventive maintenance schedules.
  • Ensure contractors perform maintenance according to agreed SLAs.
  • Monitor equipment performance.
  • Vendor & Contractor Management
  • Managing vendors and service providers.
  • Evaluate contractor performance
  • Review quotations and technical proposals.
  • Supervise contractor works to ensure compliance with TELUS standards.
  • Verify quality of workmanship before project acceptance.
  • Conduct contractor safety briefings.
  • Facilities Projects: Lead and coordinate:
  • Office renovations
  • Workspace modifications
  • Minor construction works
  • Office expansions
  • Rebranding projects
  • Infrastructure upgrades
  • Equipment replacement projects
  • Office decommissioning activities
  • Budget Management
  • Assist in preparation of annual OPEX and CAPEX budgets.
  • Monitor facilities expenditures.
  • Identify cost-saving opportunities.
  • Prepare business justifications for capital expenditures.
  • Ensure projects remain within approved budgets.
  • Workplace Safety & Compliance: Ensure compliance with:
  • Vietnam Building Codes
  • Fire Safety Regulations
  • Occupational Health & Safety requirements
  • TELUS Digital Safety Standards
  • Space Management
  • Support seating planning.
  • Reporting & Administration: Prepare regular reports covering:
  • Facilities KPIs
  • Maintenance activities
  • Incident reports
  • Vendor performance
  • Utility consumption
  • CAPEX/OPEX updates
  • Project status
  • Risk assessments
  • Asset inventory
  • Compliance documentation
  • Qualifications
  • Bachelor’s Degree in Mechanical Engineering, Electrical Engineering, or a closely
  • related Engineering discipline.
  • Minimum 3–5 years of facilities management experience.
  • Experience managing office buildings or BPO/IT corporate environments.
  • Experience in office fit-out and construction projects.
  • Experience managing MEPF systems.
  • Experience working with contractors and landlords.

Work Conditions

  • Successful candidate will be based in Hanoi, Vietnam.
  • Responsible for two TELUS Digital office sites as Facilities Engineer, namely VTC
  • Online Tower and Tower Sites.
  • Regular site inspections and occasional after-hours support are required.
  • May occasionally support regional Facilities initiatives across Southeast Asia as
  • assigned.
