Facilities Assistant

About This Role

This Facilities Assistant role supports a collaborative semiconductor design team, providing essential advanced administrative and logistical support to construction engineers, designers, and project managers. The position is well-suited for a proactive, assertive, and service-oriented professional who thrives in a fast-paced environment, enjoys solving problems, and can support multiple stakeholders.

Responsibilities

• Assist the Project Management team with administrative and logistical duties relevant to Jacobs team collocating on confidential client site
• Manage data requirements relevant to client's regulations and procedures such as trainings, workstation assignments, badging, golf carts, parking, shuttles, etc.
• Schedule, coordinate, and support meetings (virtual and in-person)
• Interface effectively with coworkers and project teams both remotely and onsite
• Plan and support large and small meetings, training, and team events
• Take, format, and distribute meeting notes and materials
• Coordinate food orders and logistical needs for meetings
• Manage data, files, and digital workflows
• Provide general administrative support and assist with ad-hoc requests as needed

Requirements

• High school diploma or GED
• Minimum of 5 years of administrative assistant experience
• Strong organizational skills, initiative, and attention to detail
• Ability to manage multiple priorities in a fast-paced, dynamic environment
• Willingness to tackle new tasks and solve problems
• Excellent verbal and written communication skills face to face and digitally
• Proficiency with Microsoft Office tools, including Outlook, Word, Excel, and MS Teams
• Strong digital organization skills for managing emails, tasks, and workflows
• Comfort taking direction from multiple stakeholders and working collaboratively
• Ability to lift up to 25 pounds
