Executive Assistant Onsite

About This Role

This onsite Executive Assistant position provides administrative support to the Chief Portfolio Officer and the Vice President, Global Strategy, and their team. The role involves managing confidential information and collaborating with various partners to achieve business objectives.

Responsibilities

• Partner with senior leaders and cross-functional stakeholders to facilitate communication, align priorities, and support achievement of business objectives
• Manage executive operations, including complex calendar scheduling, global travel, expense reporting, purchase orders, confidential correspondence, and preparation of meeting materials to ensure efficient leadership support
• Coordinate executive meetings and events by managing logistics, vendor arrangements, room reservations, audiovisual support, catering, and onsite/offsite activities to ensure seamless execution and stakeholder engagement

Requirements

• High School diploma or equivalent and 5+ years of progressive executive or administrative support experience managing calendars, travel, expenses, correspondence, and related business operations
• 3+ years of experience coordinating projects, executive meetings, conferences, and events, including planning, logistics management, and execution from initiation through completion
• Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, with experience managing multiple concurrent priorities, deadlines, expense processes, invoicing, and purchase orders
• Ability to travel internationally and domestically per business needs
