About The Role The Sterling Federal Bank is seeking an Executive Assistant to provide dedicated support to the President of the bank. This role serves as the primary point of contact for internal and external stakeholders concerning the Office of the President. The Executive Assistant will act as a liaison to the Board of Directors and the executive management team, coordinating outreach efforts and external relations. Key responsibilities include managing the President’s calendar, preparing reports and presentations, organizing meetings and events, and handling sensitive communications. The role requires a highly organized individual capable of multitasking efficiently under tight deadlines. Success in this position is measured by the effective management of the executive’s time, accuracy of documentation, seamless logistics coordination, and the smooth flow of communication across various channels. The role also involves administrative duties such as maintaining policy manuals, managing office supplies, and overseeing security-related responsibilities like key management and alarm system updates.

Qualifications

  • Minimum of a two-year college degree or completion of a specialized course at a trade or business school
  • At least 4 years of experience in office management and administrative support for executives
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Publisher) and Adobe software
  • Exceptional organizational skills with meticulous attention to detail
  • Strong time management and prioritization abilities
  • Ability to work independently and handle multiple tasks simultaneously
  • Excellent communication and interpersonal skills
  • High level of trust, credibility, and diplomacy
  • Experience in managing confidential information with discretion
  • Knowledge of office procedures, policies, and legal regulations such as the Bank Secrecy Act and Patriot Act

Responsibilities

  • Drafting, editing, and formatting reports, memos, presentations, and meeting minutes, including weekly executive meeting packets and monthly board reports
  • Coordinating company announcements with IT to update ATM screens, websites, and lobby monitors
  • Providing support and guidance to staff regarding document creation and software usage
  • Managing internal and external communications by screening calls, handling emails, and correspondence
  • Maintaining and updating the bank-wide Procedures Manual and Policy Manual
  • Serving as the company’s Purchasing Agent for office supplies, forms, inventory, and miscellaneous equipment
  • Scheduling, planning, and organizing board meetings, staff meetings, and corporate events
  • Managing reservations and travel arrangements for staff and executives
  • Monitoring and updating security systems, including keys and alarm systems
  • Coordinating conference room bookings for meetings and events
  • Supporting logistics for bank events such as retirements, community engagements, and employee celebrations
  • Handling miscellaneous administrative duties as required to support daily operations
