Executive Assistant

About This Role

An Executive Assistant is sought to support the Director of the International Delivery Service Partner (DSP) teams at the company's head office. This role involves managing calendars, coordinating travel, and leading event planning for a large, geographically dispersed team in a fast-paced, high-tech environment.

Responsibilities

• Manage multiple complex calendars across time zones and coordinate meetings and conference calls
• Coordinate extensive international and domestic travel
• Process expense reimbursements
• Organize, prioritize, and appropriately handle time-sensitive, confidential information, ensuring required action/attention is addressed
• Coordinate large events, including organizational all-meetings, off-sites, and morale events
• Support annual operational planning processes, business planning, and performance review cycles
• Serve as a business partner, ensuring strategic, proactive, and thoughtful support of the business cycle
• Create and implement processes and mechanisms for running the business
• Create, edit, and proof documents and PowerPoint presentations
• Plan office space
• Provide additional support to the extended management team as needed

Requirements

• Experience with Microsoft Office products and applications
• Experience as an Executive Assistant
• Experience with executive-level calendar management
• Experience with domestic or international travel coordination
• Experience leading process improvements
• Experience in a fast-paced, high-tech company
• Experience designing processes to maximize efficiency

The team reports into the WW Last Mile Product teams in Seattle and works directly with operational leadership across Europe.
