About This Role
Managing events at Brewster Street Icehouse is the core of this role, from the initial client inquiry to the final guest departure. The Event Manager will be the primary point of contact for clients, guiding them through the planning process and coordinating with the operations team to ensure smooth execution. This position suits someone who is organized, personable, and motivated to grow the private events business.
Responsibilities
- Manage incoming private event inquiries, including phone calls, emails, and website submissions, with timely and professional follow-up
- Build relationships with prospective clients, understand their event needs, and help them select the best options for their occasion
- Prepare event proposals, coordinate bookings, and maintain accurate event details and records
- Create and manage Banquet Event Orders (BEOs), ensuring all event requirements are clearly communicated to the appropriate teams
- Coordinate with management, kitchen, bar, and service staff to ensure events are properly planned, staffed, and executed
- Serve as the primary point of contact for event hosts throughout the planning process and during events as needed
- Conduct venue tours and client meetings with prospective event hosts
- Identify opportunities to grow private event bookings through client relationships, repeat business, and proactive outreach
- Maintain organized event calendars, contracts, and client communications
- Assist with event setup, execution, and day-of troubleshooting to ensure a positive experience for clients and guests

- Highly organized with strong attention to detail

- Proactive about following up on leads and keeping the booking process moving
- Comfortable working in a fast-paced restaurant and live entertainment environment
- Able to balance administrative responsibilities with hands-on event coordination
- A team player who can work effectively across departments
- Flexible with their schedule, including availability for evenings and weekends as events require
Nice to have:
- Previous experience in event management, hospitality, catering sales, or restaurant operations
