Event Coordinator

About This Role

Coordinating events from concept to completion is the core of this role, ensuring the highest level of concierge service for clients and enhancing the company's brand within the Ann Arbor community. This position oversees the operations of the event space and manages all logistics.

Responsibilities

• Oversee the operations of the event space, ensuring the highest level of concierge service, including bar management and service of clients
• Collaborate with clients (internal and external) to coordinate communication and attendance at events to provide maximum exposure for Hylant
• Collaborate with clients to understand their event requirements and objectives
• Execute all event logistics from concept to completion and provide excellent customer service to patrons and event attendees
• Develop event concepts, themes, and timelines based on client needs
• Understand all aspects of the A/V and sound equipment in the event space and manage presentation set-up and logistics
• Source and negotiate with vendors and suppliers to secure necessary services and resources
• Ensure compliance with the rules and regulations for the event space, including both indoor space and outdoor patio area
• Create detailed event proposals, budgets, and timelines, ensuring alignment with client expectations and company standards
• Coordinate logistics, including transportation, accommodations, catering, entertainment, and technical requirements
• Perform other duties and special projects as requested

Requirements

• Bachelor's degree in hospitality management, event planning, marketing, or related field (preferred)
• Proven experience in event planning, coordination, or management
• 3+ years of experience in event planning
• Proficiency in event management software and Microsoft Office Suite
• Flexibility to work evenings, weekends, and holidays as required by event schedules
