Event Coordinator

About This Role

An Event Coordinator supports the sales department by handling administrative tasks and finalizing event details through confirmation calls. This role also involves participating in the sales process, specifically booking social market events, and is crucial for maintaining efficient store operations and delivering exceptional hospitality.

Responsibilities

• Go above and beyond to ensure the needs of each Special Events Guest are met, communicating all requests from the host to ensure all contracts are updated accordingly
• Take RFPs and calls for social events, converting them to closed "won" business
• Conduct site tours as needed
• Ensure accurate and prompt distribution of all paperwork for "pop up parties," working through the management team to ensure they are staffed to support
• Provide administrative support to the Sales Department, including follow-up on calls/emails/tasks with the Event Host after the sale is "closed won," communicating to Operations any changes to BEOs or updated signed contracts
• Follow up on ARs, collect payment information, and close out any remaining balances
• Submit check requests/invoices as needed
• Ensure Operations has the most up-to-date BEO for each event
• Offer "upsell" opportunities to Event Hosts after the sale is "closed won"
• Meet needs, share ideas, and assist team members as required

• Communicate clearly and regularly with Operations, the Sales Team, and guests
• Clearly verbalize guests' needs to Operations and other Team Members

• Able to analyze basic data to help Operations and the Sales Team with decision-making
• Able to read and communicate in English
