About the role
Job Summary
We are seeking a detail-oriented EMAC Reimbursement Coordinator to support emergency management operations and assist with the review and closeout of reimbursement packages.
The position will work closely with internal teams, state agencies, and personnel from other states to ensure reimbursement documentation is accurate, complete, and properly organized for submission.
Emergency Management or EMAC experience is preferred but not required. Training on the EMAC process will be provided.
Key Responsibilities
- Review reimbursement packages for accuracy, completeness, and consistency across multiple documents.
- Review timesheets, equipment records, expense documentation, and other supporting records.
- Identify missing, incorrect, or inconsistent information and coordinate corrections.
- Communicate with state agencies, personnel, and other stakeholders regarding reimbursement documentation.
- Assist with processing and reviewing Request for Assistance (REQ-A) documentation.
- Track deployed resources, mission status, and related documentation.
- Assist personnel and resource providers with preparing comprehensive reimbursement packages.
- Audit and organize documentation prior to submission.
- Coordinate with assisting agencies and requesting states to reconcile eligible costs.
- Assist with closing outstanding reimbursement packages.
- Provide routine status updates to leadership.
- Maintain accurate records and follow established procedures and deadlines.
- Perform other administrative and coordination duties as assigned.
Required Qualifications
- Strong attention to detail and organizational skills.
- Ability to review and reconcile information across multiple documents.
- Strong written and verbal communication skills.
- Good computer skills, including Microsoft Office/Excel.
- Basic math and data-reconciliation skills.
- Ability to work independently with minimal supervision.
- Ability to coordinate effectively with multiple agencies, states, and personnel.
- Ability to manage multiple assignments and meet deadlines.
Preferred Qualifications
- Emergency Management experience.
- EMAC experience or knowledge.
- Experience with reimbursement, auditing, compliance, grants, claims, or financial documentation.
- Experience working with government agencies or public-sector organizations.
- Experience with emergency operations, disaster recovery, logistics, or resource coordination.
Ideal Candidate
The ideal candidate is detail-oriented, organized, analytical, and comfortable working independently. Experience in emergency management is helpful, but candidates with strong backgrounds in administration, reimbursement, compliance, auditing, financial reconciliation, government operations, logistics, or documentation review are encouraged to apply.
Pay: $24.00 - $24.43 per hour
Expected hours: 37.5 per week
