About the role

Duties
Receive all instructions from your first line supervisor i.e., Front Desk Supervisor. Performs a variety of clerical/technical duties in support of the Billeting Activity. Ensures the efficient operation of the Billeting Activity during all shifts, including nights and weekends. Answers telephones or operates a telephone system. Providing messages to the appropriate personnel and/or guest, this includes reservation messages. Greet guests providing World Class Customer Service with an emphasis on courtesy. Assists guests and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Creates reservation record and make changes to existing reservations; registers guest; assigns room and issue key cards. Calculates and posts all charges to guest’s account, presents statement, collects payments and maintains accurate room status information; monitor guest accounts; and notifies lead desk clerk of delinquent accounts. Incumbent is responsible for change fund. Provides wake up calls as per guest and courtesy reminder calls about departure times. Complete arrival rooms requiring a rollaway bed. Night shift is responsible for printing daily reports.

Verify and maintain supply closet in lobby, sign book for verification. Complete maintenance request for all maintenance problems reported on your shift. Call Emergency Maintenance if the maintenance problem warrants. Log in any guest complaints in guest book with full details.

Assist in the room assignments changes per guidance from first line supervisor, for Permanent Party and issue keys with proper paperwork signed from the Unit BEQ Manager.

Police the area you are working in including the hallway outside the office and the laundry room adjacent to the office.

Answers questions about location of restaurants, shopping, activities and tourist attractions in the immediate area. Assist with phone numbers and address when applicable. Coordinate guest services as needed. Performs other related duties as assigned.

Maintains personal identification information IAW with prescribed regulations and ensures confidentiality and security of information. Handles sensitive information that is proprietary, privileged, confidential, or otherwise legally exempt from disclosure. Safeguards sensitive information and prevents unauthorized reading, printing, retaining, copying or dissemination of information, messages, or correspondence in accordance with rules and regulations such as those covered by the Privacy Act, 5 USC 552(a), Health Insurance Portability and Accountability Act, Public Law 104-191, and DoD Directive 6025.18. Notifies the higher level supervisor and senders immediately when personal identification information has been released and advises on how to properly recover, and/or protect information.

Qualifications
One to two years experience which provides knowledge of hotel/motel operations. Knowledge of basic cash handling techniques. Ability to operate a personal computer. Must possess customer skills.
