Coordinator, Logistics

About This Role

Coordinating the flow of goods for clients is the core of this logistics role, which involves arranging transportation, booking shipments, and preparing customs paperwork. The position suits a highly organized individual with exceptional attention to detail, capable of working independently and as part of a fast-paced team.

Responsibilities

• Coordinate and book domestic and international freight transport for projects and events, including planning shipment timelines
• Book all domestic and international courier shipments
• Provide status updates on shipments in transit and expected delivery timelines
• Act as a liaison and administrative support between departments in all RWS Global entities, clients, vendors, and carriers
• Research, validate, and apply UK HS commodity codes to procurement sheets to ensure accurate customs documentation
• Create customs-facing shipping paperwork, including commercial invoices and delivery notes for all RWS Global entity shipments
• Support the Production Lead, Warehouse Logistics with picking, packing, and dispatch operations at Unit 100 during periods of increased workload or operational requirements
• Provide sole cover for operational warehouse activities usually executed by Production Lead, Warehouse Logistics at Unit 100 during annual leave and/or absence
• Work closely with RWS Global warehouse sites (Units 84 and 100) and the wider Procurement team on a daily basis
• Request and negotiate quotes from preferred freight vendors for review by the Senior Manager, Logistics and/or Project Manager
• Create Purchase Orders in the finance system (NetSuite)
• Use the Project management system (Wrike) for all project-related internal communications and operations
• Assist the Senior Manager, Logistics with daily administrative operations

• Excellent professional verbal and written communication skills
• Positive and polite telephone manner
• Proficiency in Microsoft programs such as Excel, Outlook, Teams, and Word
• Highly organized and exceptional attention to detail
• Reliable
• Ability to work effectively as an individual and as part of the team
• Ability to work under pressure and prioritize workload
• Driving license and own transport - Essential

Nice to have:

• Warehouse experience
• General understanding of Imports and Exports for the UK, USA, and China
• Knowledge in systems such as Wrike and NetSuite (training will be provided if not)
• Work experience in a similar role (training will be provided if not)
