Contract Specialist

About This Role

The Contract Specialist is responsible for administrative tasks related to contract management, including new job setups and data entry. This role involves processing and maintaining project-related data from customers under service agreements, ensuring accuracy and adherence to quality assurance guidelines.

Responsibilities

• Receive, process, update, and maintain job or project-related data from customers under service agreements
• Retrieve needed information and attachments from customer notices and portals
• Review new job intakes and create internal sales orders for the field per established processes
• Review all new job intakes to meet quality assurance guidelines
• Maintain knowledge of changing customer and internal Company requirements and adjust workflows accordingly
• Accurately retrieve, review, and input data from various customer sites into internal databases and spreadsheets
• Verify accuracy of new job intake before inputting to ensure consistency and completeness
• Facilitate accurate and timely setup of new jobs per established process
• Manage and maintain digital records across digital filing systems
• Communicate with customer contacts and individuals in multiple departments and at all levels of the company
• Perform other duties as assigned

Requirements

• High School diploma or GED
• Proficient PDF editing and data entry skills
• Intermediate use of word processing, spreadsheet, database, internet, and cloud-based software
• Professional communication skills, both written and verbal
• Ability to work independently on assigned tasks with minimum guidance
• Teamwork

• Self-motivated and driven

Nice to have:

• Previous experience with utility project administration
• Working knowledge of Google suite of applications and SAP

Important Details

• Schedule: 40 hours a week in the office
• Work environment: frequent sitting, standing, and/or walking; occasional bending, squatting, kneeling, crawling, or twisting; frequent use of sight (close to perform computer work), hearing, and voice; use of hands, arms, and fingers to perform routine and repetitive tasks; occasional light to moderate lifting (up to 30 lbs)
