Representative Responsibilities

Parish Communications Production

  • Publication Management: Manage the entire production cycle of the weekly bulletin and monthly e-newsletter; serve as the primary liaison to external publishers to ensure high-quality and timely distribution.

  • Communications: Manage and execute all Flocknote communications to parishioners, including weekly and monthly email newsletters and Faith Formation parents and families, ensuring they receive timely updates, reminders, and kerygmatic messaging.

  • Digital Content Production: Coordinate and update all content for the parish website (Home and News pages) and social media accounts (Facebook and Instagram); execute the posting of weekly homilies to the YouTube channel.

  • On-Site Messaging: Manage all kiosks and bulletin boards around the parish to ensure consistent, attractive, and timely communication of upcoming news and events.

  • Visual Documentation: Document parish life through photography and utilize these images to produce engaging content for all internal and external communication channels.

Serve as Receptionist & First Point of Contact

  • Screen all incoming calls in the fashion requested by staff.

  • Meet and greet all visitors.

  • Handle routine questions about St. John’s policies and procedures.

  • Receive and receipt any checks of cash that come into the office, including money for candles, flowers, mass stipends, donations and other payments.

  • Schedule mass intentions.

Administrative Support to Engagement & Faith Formation

  • Program Logistics: Provide any administrative support required to implement the faith formation schedule, including administrative support and communications for retreats, Encounter nights, and community-building events.

  • Communications: In support of Assistant Faith Formation Director, when needed, manage and execute all Flocknote and email communications to Faith Formation parents and families, ensuring they receive timely updates, reminders, and kerygmatic messaging.

  • Sacramental Support: Support the baptismal and sacramental preparation processes by preparing materials, coordinating class schedules, and assisting with post-meeting outreach.

  • Volunteer Logistics: As needed, assist the ADFF in equipping catechists by managing the distribution of materials and providing the administrative support needed for classroom success.

Qualifications

  • High school diploma required.

  • College degree or equivalent work experience including event planning, volunteer coordination, desktop publishing (Adobe InDesign) and social media preferred.

  • Experience working in a similar environment.

  • Exceptional organizational skills and attention to detail.

  • Excellent written and verbal communication abilities.

  • Ability to prioritize tasks and manage time effectively with limited supervision.

  • Proficiency in Microsoft Office, Google Workspace, and other common administrative tools. Experience with Adobe InDesign and Canva strongly preferred.

  • Ability to satisfactorily pass a criminal background check, complete VIRTUS safe environment training, and sign a Pastoral Code of Conduct.

  • Ability to satisfactorily comply with the requirements of PACE/PRISM program of Catholic Mutual Insurance, including annual in-service training as prescribed by the parish/archdiocese.
