Qualifications
Experience and Technical Skills
- At least 1 year of relevant professional experience
- Proficiency in Microsoft 365, including Microsoft Access, Teams, and Outlook
- Familiarity with Re-Leased or similar property management software
- Knowledge of commercial property management operations and lease administration
- Understanding of commercial lease terminology
- Previous experience in commercial property management and using Re-Leased, an advantage but not required

Responsibilities
Property Management
- Coordinate planned preventive maintenance with contractors for air-conditioning systems, fire equipment, electrical testing, redecoration, and other property requirements.
- Arrange reactive maintenance with tenants and contractors as needed.
- Schedule health and safety, fire, and other property risk assessments.
- Review assessment findings and coordinate the completion of required follow-up work.
- Maintain accurate property information and database records for landlords and tenants.
- Verify that contractors' public liability insurance policies remain current and all required permits are completed.
- Perform accurate data entry and maintain documentation in accordance with role requirements.
- Address day-to-day property management concerns and provide general administrative support.
- Prepare licenses for property alterations and maintain the corresponding documentation.
- Administer routine maintenance schedules and coordinate follow-up work with contractors and tenants.
- Confirm work instructions and timelines, notify affected tenants, and monitor projects through completion.
Compliance and Regulation
- Ensure properties comply with applicable health and safety requirements.
- Follow company policies and procedures, including Anti-Money Laundering (AML) and General Data Protection Regulation (GDPR) obligations.
- Complete regular internal compliance and regulatory training.
- Monitor potential regulatory concerns and promptly report suspected AML or GDPR breaches to the Money Laundering Reporting Officer (MLRO).
Internal
- Identify new business opportunities and help progress existing opportunities.
- Recognize and communicate significant business risks promptly.
- Perform responsibilities effectively and efficiently while minimizing unnecessary operational costs.
- Complete tasks that improve the administration and management of commercial properties.
- Undertake other reasonable duties aligned with the skills and knowledge required for the position.
