Coordinating the patient experience from initial contact to follow-up is the primary focus of this role. The Clinical Coordinator manages scheduling, check-in, and check-out, ensuring smooth patient flow and administrative accuracy. Responsibilities
- Create a welcoming, elevated experience for every patient
- Manage patient check-in, checkout, scheduling, cancellations, and waitlists
- Answer phones, texts, and patient inquiries professionally and efficiently
- Coordinate schedules and patient flow across multiple providers
- Maintain accurate patient information, forms, consents, and documentation
- Maintain patient confidentiality and follow HIPAA requirements
- Support providers and the clinical team with daily operations
- Educate patients on services, skincare, memberships, and treatment opportunities within the scope of the position
- Assist with patient follow-up, events, promotions, and practice initiatives
- Maintain a clean, organized, and professional patient-facing environment
Requirements
- Previous customer service experience
- Excellent communication and phone skills
- Strong organization and attention to detail
- Ability to multitask in a fast-paced environment
- Comfortable learning new technology and software
- Reliable, punctual, professional, and team-oriented
- Full-time Monday–Friday availability
Nice to have:
- Experience in a medical office, aesthetics, dermatology, plastic surgery, wellness, hospitality, or another high-touch customer service environment
- Experience with EMR, scheduling, or patient-management software
- Familiarity with medical terminology
- Experience with skincare, memberships, or elective medical services
- Previous aesthetics experience is a plus but not required; willing to train the right person who demonstrates exceptional customer service, professionalism, initiative, and a desire to grow
