The Qualifications We Seek
- High school diploma
- 1 to 3 years of relevant professional experience
- Experience with NetSuite, an advantage
- Proficiency in Microsoft Office, specifically Excel, Word, and Outlook
- Strong attention to detail, organizational skills, accuracy, and completeness
- Strong deadline management and prioritization skills
- Strong teamwork, motivation, and initiative, with the ability to follow up daily with the Cash Applications Lead
- Ability to work reliably and independently
- Excellent written and verbal communication skills
- Understanding of basic accounting entries
- Flexibility and confidence in using multiple programs and online interfaces
- Ability to provide prompt and accurate follow-up and communication with managers and other departments
Your Daily Tasks
Cash Applications & Payment Processing
- Process and post customer cash receipts, including lockbox check images, scanner check images, ACH drafts, wires, e-payments, credit cards, floor plan remittance files, NSF checks, NSF e-payments, and credit card credits.
- Upload remittance statements from Excel into NetSuite and post transactions accurately.
- Gather payment details from various websites, including American Express and Solveras, to support accurate posting.
- Scan and maintain cash receipt documentation on the shared drive daily.
- Provide lockbox and credit card totals to employees responsible for daily banking.
- Process monthly corrections as required.
Vendor & Accounts Payable Setup
- Set up Spiff vendors, including ACH and W-9 information, in NetSuite daily.
- Set up Accounts Payable expenses, including AR customer refunds and payments processed via ACH, daily.
- Set up Premium rebates as needed.
Reconciliation & Internal Support
- Collaborate with Credit Managers and Accounts Receivable Analysts to identify appropriate payment allocations when remittance information is limited or additional supporting details are required.
- Assist with annual audits by providing payment-related documentation requested by the Treasurer.
- Review and maintain the remittance inbox daily to ensure current-month remittance details are applied accurately.
- Complete month-end cost changes in AS400 for the Accounting team.
- Assist AR Supervisors with large E-Commerce customer spreadsheets and website (portal) work.
