Role: Business Analyst & Procurement Platform Administrator
Job Description:
- Act as a key business administrator for the procurement platform, working closely with Procurement, Technology, and the platform partner.
- Support the configuration and ongoing maintenance of intake forms, workflows, approval rules, routing logic, notifications, and business rules.
- Manage user roles, permissions, and access in coordination with Identity and IT teams.
- Support configuration changes as procurement policies, approval thresholds, and business processes evolve.
- Maintain platform documentation, configuration records, and administrator procedures.
- Troubleshoot user and process issues and coordinate escalation to the platform provider or internal Technology teams where required.
- Monitor platform usage and identify opportunities to improve user experience, adoption, and process efficiency.
- Support dashboards, reporting, and data quality within the platform.
- Coordinate the implementation, testing, and rollout of platform enhancements and new capabilities.
- Support the governance, testing, and controlled rollout of AI-enabled features and agents.
- Become a key internal point of contact and subject matter expert for the procurement platform following implementation.
Procurement Transformation Support
- Support the Director of Procurement in planning and delivering the procurement transformation programme.
- Coordinate activities associated with the implementation of the AI-enabled procurement workflow solution.
- Track project milestones, deliverables, risks, issues, dependencies, and action items.
- Prepare project documentation, status updates, steering committee packs, and executive presentations.
- Monitor progress across multiple workstreams and ensure key deadlines and deliverables are met.
- Support testing, deployment, business readiness, and implementation activities.
Business Analysis
- Gather, document, and analyse business requirements from stakeholders across Procurement, Finance, Operations, Technology, and other business functions.
- Translate business requirements into platform configuration requirements, including workflows, forms, routing, approvals, and business rules.
- Map current-state ("as-is") and future-state ("to-be") procurement processes.
- Identify process improvement opportunities and efficiencies enabled by automation, digitization, and AI.
- Translate business needs into clear functional requirements for technology partners and solution providers.
- Facilitate and participate in workshops, process design sessions, requirements discussions, and solution demonstrations.
- Support User Acceptance Testing (UAT), defect management, and validation of system enhancements.
Executive & Project Coordination
- Act as a key liaison between the Director of Procurement and internal and external stakeholders.
- Coordinate project governance forums, meetings, schedules, and executive calendars related to the transformation programme.
- Prepare agendas, meeting minutes, decision logs, action trackers, and follow-up communications.
- Coordinate communications and follow-up activities across project stakeholders.
- Support budget tracking, vendor coordination, and procurement project administration.
- Ensure key decisions, actions, risks, and dependencies are appropriately documented and followed through.
Stakeholder Management & Change Support
- Build strong relationships across business functions and leadership teams.
- Support the development and execution of communication and change management plans.
- Support user training, onboarding, and adoption activities.
- Coordinate stakeholder workshops, feedback sessions, and user engagement activities.
- Gather and incorporate stakeholder feedback to improve processes and platform adoption.
- Drive awareness, engagement, and effective adoption throughout the transformation journey.
Reporting & Data Analysis
- Develop project dashboards, status reports, and progress updates.
- Analyse procurement and operational data to support decision-making and identify improvement opportunities.
- Produce executive summaries, insights, and recommendations for leadership teams.
- Track benefits realization, performance metrics, and key performance indicators (KPIs).
- Support data quality and reporting improvements across the procurement platform.
Required Skills & Experience
- Bachelor’s degree in Business, Finance, Supply Chain, Procurement, Information Systems, or a related discipline.
- Experience in Business Analysis, Project Coordination, PMO, Executive Support, Transformation, or a related role.
- Experience supporting business transformation, process improvement, or technology implementation projects.
- Demonstrated ability to translate business processes and requirements into workflows, forms, approvals, routing logic, and system configuration.
- Strong requirements gathering, documentation, and business process mapping skills.
- Excellent organizational, prioritization, and multitasking abilities.
- Strong stakeholder management and communication skills, with the confidence to engage with senior stakeholders.
- Advanced Microsoft Office skills, particularly PowerPoint, Excel, Teams, and SharePoint.
- Ability to work independently, manage competing priorities, and operate effectively in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong attention to detail and a structured, problem-solving approach.
Desirable
- Experience in Procurement, Sourcing, Supply Chain, Finance, or a related business function.
- Knowledge of procurement technologies, workflow platforms, or Source-to-Pay (S2P) solutions.
- Experience administering or supporting enterprise SaaS platforms.
- Experience working with AI-enabled business applications, automation, or AI agents.
- Familiarity with Agile, Scrum, Waterfall, or hybrid project delivery methodologies.
- Business Analysis or Project Management certification, such as CBAP, PMI-PBA, PRINCE2, PMP, or Agile certifications.
- Experience with Power BI, data visualization, dashboards, or reporting tools.
- Experience supporting change management, user adoption, or digital transformation initiatives.
