DESCRIPTION

The Associate Director of Operations reports to the Executive Director. This person will maintain the organization’s database, process contributions, and support the general coordination for the daily operations of the organization. Key functions include overseeing donor data management, gift processing, contributions reporting, and fundraising events coordination and communication.

This position will reflect the mission, benevolence and professionalism of Rise and Shine in all relationships with board members, donors and our partners both in the U.S. and in Ghana.

Rise & Shine works with and is located at Our Lady of Grace parish in Edina. This position is ideal for someone with a heart for service, effective team collaboration and organizational expertise.

Essential Duties & Responsibilities

Development

  • Gift processing and data entry: Accurately process donations, pledges, and in-kind contributions into the CRM, Bloomerang.
  • Data Hygiene: Maintain data integrity by updating constituent records, identifying and merging duplicate profiles, and updating addresses and contact information.
  • Donor Acknowledgement: Generate, track, and mail timely and accurate donation acknowledgement of letters and tax receipts.
  • Reporting and Segmentation: Create customized reports for the finance committee and full board meetings, event planning, and budgeting to support fundraising campaigns and reconcile financial data.
  • Compliance: Process contributions in accordance with gift acceptance policies, IRS guidelines, and nonprofit best practices to maintain accurate, audit-ready records.

Operational Support:

  • Fundraising Events: Preparation of print and electronic materials, manage database invitations, registration and guest list coordination, provide venue & vendor support.
  • Board Support: Schedule physical and virtual meeting spaces, prepare agenda packets for committee meetings and board meetings, prepare board notes and minutes.
  • Communications: Manage website updates, manage quarterly e-newsletter through the database, coordinate communication with partner organizations and individuals.
  • Ghana Partnership Coordination: Support for coordination of travel to Ghana, support for OLAG students participating as Notre Dame Summer Scholars, support for OLAG graduates studying at U.S. colleges and universities.

QUALIFICATIONS

Qualifications

  • Mission centered with a heart for supporting education in Ghana.
  • Strong verbal and written communication skills.
  • High performance with Microsoft Suite, particularly Excel and Word, and Google Docs.
  • Experience with database systems, preferably Bloomerang.
  • Professionalism in day-to-day work as a representative of Rise & Shine.
