About the role

Duties

Performs a variety of duties in support of office administration at the South Central California Area Office (SCCAO).

  • Performs payroll recordkeeping, related to payroll data entry and maintenance of daily time sheets.
  • Coordinates travel arrangements and prepares required paperwork in accordance with current regulations and official policies regarding travel.
  • Serves as one of three office and telephone receptionists directing visitors and telephone calls to appropriate personnel.
  • Provides administrative support to the area office.
  • Performs office automation work to facilitate office activities. Uses automation equipment and software (word processing, spreadsheet, graphics, etc.) to produce a wide variety of narrative and tabular material, e.g., correspondence, reports, graphics, calendars, charts, statistical tables, and various forms and documents.

Qualifications

Selective Placement Factor: This position requires a qualified typist. Applicants must possess typing skill of at least 40 words per minute. Certification may be a certificate of proficiency dated within the past 3 years or self-certification by stating current speed on your application for employment/resume.

Applicants must have one year of specialized experience or additional education as defined below:

GS-05: One year of specialized experience equivalent in difficulty and complexity to at least the GS-04 level in the Federal Service. Applicants also qualify with 4 years of academic study above high school; OR a combination of successfully completed education and experience may be used to meet the 1-year specialized experience requirement.

Education substitution: Only education in EXCESS of the first 60 semester hours can be credited toward meeting the specialized experience requirement. One year of academic study beyond the second year is equivalent to 6 months of specialized experience. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. The education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. If using education to qualify, you must submit a COPY of your college transcripts.

Foreign Education: To receive credit for education completed outside the United States, applicants must show proof that the education has been submitted to a private organization that specializes in interpretation of foreign educational credentials and such education has been deemed at least equivalent to that gained in conventional U.S. education programs.

Definition of Specialized Experience: To meet specialized experience, your resume must describe experience that demonstrates the particular knowledge, skills, and abilities as follows:

GS-05: General office management or secretarial experience that included responsibility for coordinating a variety of administrative support services such as preparing correspondence and reports, mail and filing, travel, time and attendance, inputting to and/or maintaining databases which support the administrative activities of an office. These examples are not all inclusive.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
